POSITION SUMMARY:
The Senior Planning & Program Coordinator, “Coordinator,” supports the day-to-day operations, program implementation, and event management of the Benjamin L. Crump Environmental and Societal Law Institute [BLC Institute] and the St. Thomas University College of Law. Working under the direction of the Director, the Coordinator assists with program administration, budgeting support, event planning and execution, and partnership coordination to advance the Institute’s mission. In addition to core responsibilities within the Institute, this role involves active participation in law school planning and events that support the broader public facing mission of the College of Law, while providing comprehensive support across all operations focused on the growth and success of the Institute. This position works closely with the Dean’s Office and Director in the coordination of high-profile events sponsored or held at the College of Law.

ROLES AND RESPONSIBILITIES:
- Coordinate the daily administrative operations of the BLC Institute, while contributing to overarching law school initiatives aimed at institutional advancement and success.
- Assist the Director in preparing and implementing the BLC Institute’s annual work plan and program
calendar, while ensuring alignment with university and law school objectives.
- Monitor program timelines and deliverables.
- Track expenditures and assist with budget preparation and reporting.
- Provide logistical and administrative support for research, training, and outreach initiatives, extending assistance to related law school operations as needed.
- Support the development and implementation of BLC Institute projects and initiatives, with an emphasis on fostering growth for the Institute and law school.
- Coordinate project activities, meetings and documentation.
- Assist with data collection, reporting and grant compliance.
- Assist the Director with grant research and proposal preparation; and help identify potential funding opportunities and partnership prospects to ensure sustainability of the BLC Institute and the law school.
- Provide coordination and support to graduate fellows, research assistants and consultants.
- Maintain and support relationships with governmental agencies, NGOs, academic institutions, and community partners, as directed by the Director and/or Dean, to advance the missions of the BLC Institute and university.
- Represent the BLC Institute at meetings and events as assigned, including those supporting law school and university goals.
- Respond to public inquiries and assist with media coordination in collaboration with the Director and the College of Law communication teams.
- Maintain and update the Institute’s website and social media platforms.
- Assist with promotional materials and outreach communications.
Event Planning & Coordination
- Plan and execute BLC Institute-sponsored events, other College of Law events, and university-aligned activities, including conferences, symposia, lectures, workshops, and outreach programs that promote the mission of the university.
- Develop event timelines, coordinate logistics, and manage registration processes.
- Arrange venue, catering, audiovisual needs, travel, accommodations, and event materials.
- Coordinate with speakers, panelists, and partners to ensure smooth execution.
- Provide on-site event management and post-event follow-up reporting.
Other Duties
- Performs other duties as required by the Director and/or the Dean of the College of Law, including support for operations and events that drive the growth and success of the Institute, law school, and university.
Qualifications
QUALIFICATIONS:
- Advanced university degree in international relations, law, human rights, environmental studies, social sciences or related field preferred.
- Minimum of 3-5 years of relevant professional experience in program coordination, academic administration, non-profit management or related fields.
- Experience with event planning and project coordination.
- Familiarity with budget processes and grant administration support.
- Strong organizational, communication and writing skills.
- Ability to manage multiple priorities in a small office setting.
- Professional fluency in English required; Spanish preferred.
- Proficiency in standard office and digital communication tools.
- Ability to work in a team, to establish and maintain external partnerships as well as effective and constructive working relationships with people of different national and cultural backgrounds while maintaining impartiality and objectivity.
SUPERVISORY FUNCTIONS
Provides coordination support to Graduate Fellows, Research Assistants and Consultants as assigned.
SUPERVISION RECEIVED
Reports to the Dean of the Law School and Director of the BLC Institute.
