Job Description Summary:
Provides
customer service and serves as a main contact point for applicants seeking employment with the College. Performs various aspects of the
hiring process, including employee onboarding and position close-out procedures. Responsible for pre-employment and administrative duties to
support office operations.



Job Description:

Supervision Received and Exercised


Operates under the direct
supervision of the department manager or designated supervisor. The role does not typically include supervisory responsibilities but may
occasionally provide guidance to junior staff or new hires as part of onboarding and training processes. The position is expected to work
independently on routine tasks while seeking direction for more complex assignments.

  • Perform administrative duties for a department in support of faculty, staff, and/or student efforts, including
    examining and answering correspondence, processing and prioritizing office communications, processing mail, answering the telephone and
    email, arranging conference calls, and maintaining or coordinating the supervisor’s schedule.
  • Perform clerical duties including
    correspondence, ordering supplies and equipment, maintaining tracking systems and logs, processing mail, and duplication.
  • Provide
    customer service to faculty, staff, and/or prospective, current, and returning students.
  • May serve in a variety of areas focusing on
    specific rules, government regulations, and documentation specific to that area.
  • Provides clerical support for programs and
    functions, which may include producing handouts, fliers, newsletters, brochures, manuals, and other documents.

Description of
Duties and Tasks

  • Provides customer service by assisting applicants, employees, and supervisors; responds to inquiries and
    provides accurate and timely information.
  • Supports employment processes, including onboarding, employee changes, and employment
    verifications, following established procedures.
  • Prepares and sends correspondence and notifications to applicants and
    employees.
  • Performs administrative duties to support daily office operations.
  • Gathers information, prepares routine reports,
    and reviews data for accuracy.
  • Assists with the new hire onboarding process and helps welcome new employees.
  • Assists with
    orientation sessions, departmental events, and other activities as needed.
  • Provides support for projects, research, and
    process-related tasks.
  • Processes unemployment claims, credential verifications, faculty fingerprinting, and employment verifications
    in accordance with applicable procedures.
  • Assists with staff training activities and the implementation of programs and
    processes.
  • Maintains records and completes transactions in HR systems (e.g., creating employee accounts and positions, processing
    employee updates).
  • Assists with employee separation and offboarding processes in accordance with established
    guidelines.
  • Maintains quality service by following organizational standards and procedures.
  • Performs other duties as
    assigned to support team and departmental needs.

Job Requirements



Knowledge:

  • Understands and performs
    administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office
    procedures and terminology.
  • Apply principles and processes for providing customer and personal services including customer needs
    assessment, meeting quality standards for services, and evaluating customer satisfaction.
  • Knowledge of basic principles of
    college-level administration.
  • Effective communication techniques and strategies.
  • Ability to operate standard office
    equipment including computers, telephones, copiers, and scanners.
  • Ability to follow and apply knowledge of college policies and
    procedures.


Skills:

  • Maintain schedules effectively.
  • Effective communication skills.
  • Adherence to
    confidentiality laws.
  • Proficiency word processing and spreadsheets.
  • Ability to manage time effectively and prioritize
    tasks.

Minimum Requirements


Education:

  • Associate degree.

Work Experience:

  • One (1)
    year of related work experience.

Supplemental Experience:


  • High School Equivalency plus three (3) years of related
    experience may satisfy the minimum requirements.

Physical Requirements

  • Work is performed in a standard office or
    similar environment.
  • Subject to standing, walking, sitting, bending, reaching, pushing, and pulling.
  • Occasional lifting of
    objects up to 10 pounds.

Salary Range (PG 117)


$47,840 – $50,188
