This position reports to the Executive Director of Human Resources with primary responsibility to provide administrative support and assistance to the Executive Director and provide support in the Human Resources functional areas including benefits, records administration, recruitment and employment and employee and labor relations. This is a twelve (12) month, Management Confidential position.
Primary Responsibilities:
Serves as the Human Resources department’s initial contact.
Responsibilities include but are not limited to:
- Coordinates the Executive Director’s calendar (prioritizing and scheduling appointments and meetings).
- Handles day to day office operations (answers office telephone lines, greets visitors to the office, opens and sorts US mail, interoffice mail, including HR email inbox).
- Tracks and handles day to day office operations, logistics, purchasing and budget matters.
- Enters employee information in applicable SUNY and other NY State Employee systems.
- Assists Human Resources staff with initiatives such as onboarding, coordinating employee recognition services, professional development as well departmental projects.
- Maintains departmental data and metrics systems.
- Prepares meeting agendas.
- Performs other duties as assigned by the Executive Director or designee.
KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of:
- Microsoft Office software and other general office software.
- Business etiquette and office protocol.
Skill in:
- Creating exceptional interpersonal relationships with executive leaders, managers, supervisors, colleagues, employees, students and external constituencies.
- Verbal and written communication and giving presentations.
Ability to:
- Manage sensitive and complex matters with discretion and sound judgment.
- Ability to organize, prioritize, follow multiple projects and tasks through to completion, with close attention to detail.
- Effectively navigate local Old Westbury campus and SUNY system-wide structures.
- Arrive at analytical, data informed decisions and program approaches.
- Advise employees and managers on general human resources related matters.
PHYSICAL DEMANDS
The physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of this job.
Sitting at a desk, viewing computer screens, typing on a keyboard and manipulating a mouse. Occasional standing, bending, reaching to file documents. Speaking and listening to conversations on a telephone and via zoom, TEAMS or other video meeting technology.
WORKING CONDITIONS
The work environment and exposures described herein are representative of those an employee encounters while performing the essential functions of this job.
Inside office environment with normal noise and lighting levels. Work is performed in an open office environment with staff, students, and community contact and interruptions.
Requirements:
Minimum Qualifications:
- Bachelor’s degree.
- One to two years of professional experience in human resources, business or social service environment.
- Proficiency in Microsoft Office suite.
Preferred Qualifications:
- Previous experience in Higher Education.
Additional Information:
Salary range: $50,000.00 to $52,000.00 commensurate with education and experience
