The School of Arts and Sciences (SAS) at Rutgers University is the largest academic unit of the University and is comprised of 41 academic departments spanning humanities, social, physical and life sciences and over 100 different majors, plus programs, centers, bureaus and institutes. Posting Summary

Rutgers, The State University of New Jersey is seeking an Administrative Coordinator for the School of Arts and Sciences (SAS).

Among the key duties of this position are the following:


  • Provides daily coordination and follow-through concerning employment of faculty, staff, and students in the School of Arts and Sciences.
  • Works with the HR Associate to process academic appointments for the school.
  • Coordinates and performs various functions relating to faculty, staff, and student human resources/personnel matters.
  • Initiates, researches and responds to individual inquiries and large-scale communications.
  • Works with SAS-IT to gather personnel related data, creates and manages databases and data files that are easily queried and sorted for diverse audiences and operational and strategic needs.
  • Provides support to the SAS Office of Human Resources by coordinating the administration of programs, projects, and/or processes and by organizing and coordinating the unit operations.
  • Analyzes payroll/financial reports and staff/faculty forecasts and conducts regular audits or reports and records to ensure accuracy of data and HR related transactions.
  • Completes purchases and inventory.
  • Ensures compliance with university purchasing procedures and guidelines.
  • Prioritizes work, resolves routine conflicts and issues, and prepares and implements administrative guidelines and procedures for unit.
  • Provides routine and non-routine information and explanation to employees and department administrators.
  • Schedules appointments, arranges and coordinates design and logistics for workshops and meetings, and completes other work consistent with a broad understanding of the mission, vision, role, and goals of the SAS Office of Human Resources.
  • Conducts preparation and distribution of documents, including cost-related analysis, requested by OULR, and OGC in support of the university’s labor negotiations efforts and in support of labor relations functions relation to the administration of cba’s.
  • Serves as liaison within and outside unit.
  • Works under general supervision, within established work parameters, with few direct instructions.
  • Carries out routine and non-routine tasks with occasional review of work outputs by the HR Associate.
  • Performs professional work that requires knowledge of general administrative/office management principles and practices and a good understanding, use, and application of concepts, theories, principles, practices, terminology, and applied bases of unit administration.

Mid Range Salary: 78642.000



Maximum Salary: 95154.000

Consistent with the current application of Rutgers Policy 60.3.22 or the applicable provisions of relevant collective negotiations agreements, this position may be eligible for a hybrid work arrangement. Minimum Education and Experience


  • Bachelor’s degree in human resources management or a related field, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of human resources.
  • A minimum of two years of human resources related experience.

  • Strong MS Office skills including intermediate Excel and the ability to analyze data.

Preferred Qualifications


  • Prior human resources or administrative experience in an institution of higher education.
  • Knowledge of Rutgers University systems, policies, and procedures.

Equipment Utilized

  • Uses Cornerstone, HCM, Guardian (E-Verify), SAS Systems, and departmental databases on a daily basis. Knowledge of Windows, Microsoft Office (especially Excel).
