Posting Summary
Rutgers, The State University of New Jersey is seeking a Program Coordinator I for the School Communication & Information.
Reporting to the Manager of Academic Administration in the School of Communication and Information, the Program Coordinator I works with faculty department chairs and program directors to support the efficient and effective operations of departments and programs.
Among the key duties of the position are the following:
- Conducts planning and data entry for the schedule of classes for academic programs.
- Generates appointment packets for part-time instructors and prepares them within the HCM system.
- Coordinates activities related to department and program events.
- Creates reports and data summaries for administrators, such as graduate admissions applications, and analyzes and archives documents and information.
- Works with individual faculty to support teaching and research, such as arranging purchases, ordering textbooks, and advising on policies related to travel and expense reimbursements.

Maximum Salary: 87925.480

Minimum Education and Experience
- Bachelor’s degree or equivalent combination of education and/or experience that demonstrates skill and knowledge of educational programming.
- A minimum of two years of relevant experience in an educational setting, which must include some experience with academic program administration, course coordination, and administrative functions.
Required Knowledge, Skills, and Abilities
- Familiarity with online systems to support educational programming, such as registration systems and course management systems.
- Strong oral and written communication skills.
- Computer proficiency with MS Office Suite and other common software applications.
- Ability to use discretion and tact when interacting with faculty, instructors, and colleagues.
- Ability to quickly learn, adapt to, and effectively utilize software systems, technologies, and processes that support educational programming and administrative operations.
Preferred Qualifications
- Course scheduling experience.
Equipment Utilized
- Microsoft 365 applications including Outlook and Sharepoint.
- Excel, Access, and Microsoft Office applications.
- Rutgers online office systems such as RU Marketplace, Course Scheduling System, CourseAtlas, REGIS.
- Common office equipment such as desktop and laptop computers and copiers.
Physical Demands and Work Environment
- This position will require to be able to work occasional evenings and weekends in person and online in support of special events and initiatives.
- This position will require to be able to lift 25 pounds and rearrange moveable furniture to prepare rooms for events.
