Job Summary
The Coordinator for the Department of Student Services at Quillen College of Medicine plays a vital role in supporting the smooth operation of faculty scheduling and attendance management. This position will oversee the timely and accurate coordination of faculty schedules, ensuring that all attendance records are maintained efficiently. Additionally, the Coordinator will manage billing processes and facilitate the use of the Electronic Medical Record (EMR) system, ensuring compliance and accuracy in all transactions. The role also involves providing crucial administrative office support, assisting with day-to-day operations, and contributing to the overall efficiency of the department. The ideal candidate will be highly organized, detail-oriented, and possess excellent communication skills to collaborate effectively with faculty, students, and staff.
Knowledge, Skills, and Abilities
Language Skills:
- Ability to read, analyze, interpret, and comprehend instructions (written or verbal), correspondence, professional journals, technical procedures, or governmental regulations.
- Proficient in composing correspondence, documentation, reports, and procedures with clarity and accuracy.
- Strong ability to effectively present information and respond to questions from various stakeholders, including managers, patients, physicians, and administration, both in-person and over the phone.
- Capable of responding to inquiries in a clear and understandable manner, ensuring all parties are informed.
- Adept at addressing sensitive inquiries, complaints, and situations with professionalism and empathy.
Mathematical Skills:
- Proficiency in basic arithmetic operations: addition, subtraction, multiplication, and division in various units of measure, using whole numbers, common fractions, and decimals.
- Ability to calculate and apply concepts such as fractions, percentages, ratios, and proportions to practical situations effectively.
Reasoning Ability:
- Ability to define problems, collect data, establish facts, and draw valid conclusions in a logical manner.
- Skilled in interpreting and solving practical problems that involve abstract and concrete variables with a wide variety of information.
- Excellent problem-solving skills, applying common sense and good judgment in complex and challenging situations.
Other Skills and Abilities:
- General knowledge of scheduling practices and DSM V coding, with a solid understanding of medical terminology and computer software applications.
- Familiarity with the principles and practices of supervisory and general management functions within a medical office setting.
- Competent in operating computers, keyboards, printers, and utilizing modern office software applications.
- Thorough understanding of modern office practices, procedures, and equipment for multi-site office environments.
- Proven ability to establish and maintain effective working relationships with faculty, staff, patients, and third-party partners, fostering collaboration and efficiency.
- Strong listening skills and the ability to concentrate and remain focused under high-demand situations.
- Highly organized, with the ability to manage tasks independently or as part of a team, demonstrating sound management skills across various professional disciplines.
- Able to maintain a positive and professional image, contributing to a productive and harmonious work environment.
Required Qualifications
- High School Diploma or higher with two (2) years of related work experience
OR
- An equivalent combination of education and experience
Preferred Qualifications
- Preferred at least two to three years medical practice administration
