Required Qualifications:
- Two (2) or more years of experience working as an Administrative Assistant in a professional office environment.
- Experience providing administrative support in an academic setting.
- Experience coordinating event logistics (catering, invitations, etc).
- Excellent verbal and written communication skills, including professional customer service, telephone etiquette, and the ability to prepare clear and grammatically correct correspondence.
- Proficiency in Microsoft Office 365 products, including Outlook, Excel, MS Forms, and Teams.
- Advanced attention to detail.
- Demonstrates discretion and confidentiality in handling sensitive issues and information.
- Demonstrated problem-solving, organizational, and time-management skills with the ability to prioritize multiple responsibilities and adapt to changing priorities.
- Demonstrated ability to work collaboratively as a member of a team, build positive working relationships with diverse stakeholders, and contribute to a supportive and professional work environment.
Preferred Qualifications:
- One (1) or more years of experience providing administrative support in a higher education or other academic office setting.
- Ability to work independently with minimal supervision and take initiative.
- Basic understanding of Adobe Sign and/or Adobe Acrobat products, Teams/Zoom for meetings, file sharing, and collaboration, ERP systems (e.g., Workday or SAP), etc.
- Experience using P-cards, submitting purchase requisitions/POs, travel reimbursements, and work orders.
- Knowledge of Texas State University policies and procedures.
Job Description:
This position is responsible for providing administrative and general clerical support to the Deans Office, Associate Deans, chairs/directors and administrative staff in the College of Health Professions (CHP).
This position is housed on the Round Rock campus (RRC).
Job Duties:
- Customer Service: Serve as a receptionist by answering phones and providing customer service to students, staff, faculty, and guests, handling incoming inquiries by researching and providing accurate answers. Represent the Deans Office as a professional environment.
- Event Coordination: Plan and execute logistics of events of various sizes for the Deans Office.
- Prepare and process Affiliation Agreements (AA) with outside facilities and agencies for student clinical placements. Maintain the database.
- Provide administrative support to the Dean, CHP Associate Deans as needed (i.e processing travel reimbursements, events, etc).
- Serve as CHP Time Administrator to monitor and approve time entries for the Dean, their direct reports, and student employees as needed.
- Work closely with the Sr. Administrative Assistant to complete Deans Office tasks on the Round Rock Campus (RRC).
- Serve as the college liaison to coordinate and collaborate with other support offices across two campuses, such as Academic Affairs, VP RRC, Advising Center, Student Success, Purchasing, Treasurers Office, HR, IT, Facilities Operations, etc., to facilitate administrative processes.
- Hire and supervise student workers.
- General office duties: submit key/card access, work orders, purchase orders, and invoices, run errands, troubleshoot, scan/copy materials, prepare/distribute mail, restock the coffee station, and order office supplies to ensure efficient office operations.
- Other duties as assigned.
