Position Information
The Ambulatory Operations
Coordinator drives the execution of multiple work streams by identifying member and operational needs; translates business strategy into
actionable business requirements; develops and updates new procedures and policies. Gains cross-functional support for objectives and
priorities; determines and carries out processes and methodologies; solves highly complex issues; escalates and resolves issues as
appropriate; sets standards and measures progress. Develops work plans to meet business priorities and deadlines; coordinates, obtains and
distributes resources. Removes obstacles that impact performance; guides performance and develops contingency plans accordingly; influences
the completion of project tasks by others. The full salary range for the Ambulatory Operations Coordinator is $30.10 – $44.01 per hour. We
base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and
organizational needs. Applicants must have current work authorization when accepting a UCR staff position. Currently, we are unable to
sponsor or take over sponsorship of an employment Visa for staff. As a University employee, you will be required to comply with all
applicable University policies and/or collective bargaining agreements, as may be amended from time to time. Federal, state, or local
government directives may impose additional requirements.

- Bachelor’s degree in related area and/or equivalent
experience/training.
Experience
- Minimum 2-4 years of experience in an ambulatory setting.
- Current
employee with UCR Health for a minimum of two years in the ambulatory setting.

Demonstrated ability in diplomacy, discretion, tact and sound judgment, and the ability to maintain
confidentiality. Interpersonal skills to effectively interact with and enhance communication and collaboration with staff, colleagues,
administrative personnel Demonstrated effective writing skills. Knowledge of all aspects of communications. Requires basic knowledge of
project management principles, theories, and concepts. Demonstrated capacity to anticipate obstacles and plan for contingencies.
Demonstrated attention to detail. Demonstrated ability to determine relevance and prioritize tasks. Working knowledge of initiatives and an
understanding of impact to the organization of such initiatives. Demonstrated skill (intermediate to advanced level) in the use of personal
computers and software programs, including but not limited to Microsoft Office applications, database management, and analysis. Demonstrated
organization and project management skills. Requires ability to assess campus, medical center or Office of the President needs for
information technology products and design services to meet those needs. Effective skill at tracking effort and project progress. Proven
leadership ability. Effective problem-solving skills. Demonstrated ability to put forth persuasive arguments. Broad knowledge of initiatives
and an understanding of impact to the organization of such initiatives. Demonstrated competency in selecting and implementing project
management methods and techniques. Demonstrated skills in data analysis and presentation.

Key Responsibilities
- Coordination: Serves as a liaison
between leadership, operational teams, and external partners by participating on committees and workgroups to communicate organizational
changes, emerging issues, current events, and industry trends related to ambulatory services, quality, and training; providing guidance to
cross-functional teams to evaluate and improve technical and non-technical quality management systems and operational processes;
facilitating collaboration across departments to align operations, quality, utilization, and strategic initiatives; ensuring adherence to
organizational standards and effective utilization of technology and process improvement efforts; and coordinating operational and
administrative activities that support ambulatory services, including researching and facilitating clinic licensure and regulatory
requirements, processing staffing requisitions and onboarding requests, establishing and maintaining vendor relationships and service
agreements, coordinating facility readiness and occupancy requirements, supporting contract and document management, maintaining operational
records and project documentation, tracking budgets and invoices, monitoring project timelines and deliverables, coordinating equipment,
furniture, and supply procurement, facilitating access and technology requests, supporting accreditation and compliance activities,
preparing reports and presentations for leadership, and assisting with new clinic openings, program implementations, and other
organizational initiatives. - Process Improvement & Quality Assurance: Maintains ambulatory operations, service quality, and
continuous process improvement by overseeing day-to-day technical and non-technical operations; guiding staff on efficient, standardized
practices that promote quality, patient safety, customer satisfaction, and cost effectiveness; evaluating and optimizing workflows and
systems across the continuum of care; developing and implementing policies, procedures, and process improvement initiatives; leading
internal audits and quality assurance activities to verify compliance and effectiveness of ambulatory processes; reviewing and validating
process outcomes, data, and results for accuracy and completeness prior to dissemination; identifying and resolving complex operational and
workflow issues; analyzing performance and quality metrics to address deficiencies and drive corrective actions; promoting the adoption of
innovative processes and technologies that enhance service, quality, and efficiency; managing inventory, resources, and project initiatives;
and fostering collaboration, accountability, and a progressive work environment that supports continuous improvement and operational
excellence. - Project Management: Provides project management and operational support for ambulatory initiatives, programs, and
organizational priorities by coordinating project plans, timelines, deliverables, and stakeholder engagement activities; supporting the
planning, implementation, and evaluation of new programs and services; facilitating cross-functional collaboration to ensure alignment with
organizational goals and operational requirements; monitoring project progress, identifying risks and barriers, and developing solutions to
maintain project timelines; preparing project documentation, reports, and communications; tracking action items and ensuring accountability
for deliverables; and supporting leadership in the successful execution, adoption, and continuous improvement of projects, programs, and
operational initiatives. - Miscellaneous duties as assigned.
- Coordination of Ad Hoc Clinic Activations: Coordinates
ambulatory clinic activation and operational readiness activities by serving as the central operational resource for new clinic openings and
expansion projects; developing, maintaining, and tracking project plans, timelines, deliverables, and activation resources to ensure
successful execution of multiple concurrent projects; facilitating communication and collaboration among leadership, clinic managers,
physicians, developers, landlords, vendors, and other key stakeholders; monitoring project milestones and proactively identifying,
escalating, and resolving risks, barriers, and dependencies; coordinating operational readiness activities including equipment, supplies,
staffing, training, regulatory requirements, and facility preparation; supporting go-live planning and execution to ensure a seamless
transition to operations; maintaining project documentation and status reporting; and driving accountability across stakeholders to achieve
project objectives, timelines, and organizational standards for quality, service, and operational excellence.
