SALARY: $48,817.00 Annually

DEPARTMENT: History and Social Sciences

REPORTS TO: Chairperson, History and Social Sciences


PRINCIPAL RESPONSIBILITIES:

  1. Organizes and coordinates the administrative workflow.
  2. Responsible for coordinating complex departmental projects from inception through completion.
  3. Provides primary secretarial support to the department.
  4. Identifies problems and/or inconsistencies in the record system and provides for their solution or correction.
  5. Responsible for Administrator’s files, calendar and correspondence.
  6. Prepares correspondence, complex technical and/or statistical reports, agenda, and minutes of meetings.
  7. Arranges, participates in and implements, as directed, meetings and conferences.
  8. Participates in the training and motivation of other support staff.
  9. Provides students, employees, or department members with information and directs them to appropriate


resources.

  1. Operates office equipment.
  2. Maintains accurate files and records via manual or computerized systems.
  3. Orders office supplies and instructional/administrative materials as needed.
  4. Sorts and distributes mail within the department.
  5. Performs other duties as assigned that are appropriate to the position.

MINIMUM QUALIFICATIONS:

  • High School Diploma or equivalent
  • Two (2) years of verifiable work experience as an administrative assistant

PREFERRED QUALIFICATIONS:


  • Associate degree
  • Strong computer skills with knowledge of Microsoft Windows and Microsoft Office
  • Proficiency doing research on the Internet
  • Strong analytical skills, organizational skills and self-motivated
  • Excellent written, verbal, and interpersonal communication skills
  • Ability to interact professionally with employees and the public

SUPPLEMENTAL INFORMATION:



SCHEDULE: Monday – Friday, 8:00 a.m. to 4:00 p.m., 35 hours per week



RETIREMENT: Pension Eligible

Any Middlesex College employee hired after September 1, 2011 will have to meet the New Jersey residency law requirement.
