Job Description Summary

The Part-Time Staff Assistant for the Health Sciences Division provides high-level administrative, clerical, and compliance support essential to the effective operation of the division. This role supports faculty, staff, students, and community partners by tracking budgets, coordinating purchasing, assisting students and faculty, and managing general office operations. The Staff Assistant plays a key role in fostering a welcoming, organized, and student-centered environment while contributing to Forsyth Technical Community College’s mission and shared vision.



Minimum Qualifications


Required:

  • High School Diploma or GED
  • Two (2) or more years of office or administrative experience
  • Demonstrated understanding of commitment to the mission of community colleges
  • Proficiency with office technology, including Microsoft Office and/or Google Workspace

Preferred Qualifications


Preferred:

  • Experience supporting academic or health sciences environments
  • Strong organizational, communication, and customer service skills
  • Ability to manage multiple priorities in a fast-paced setting

Essential Duties

Essential Job Duties and Responsibilities: include the following and other duties as needed


  • Prepare process contracts, correspondence, schedules, and reports.
  • Assist with faculty onboarding and orientation
  • Assist with divisional and advisory board meetings, including agenda creation, minutes, and room set-up
  • Assist with accreditation tasks, including but not limited to on-site visit needs
  • Maintain accurate personnel files and confidential records
  • Process purchase requisitions and maintain related documentation
  • Provide front-line administrative support to faculty, staff, students, and the public
  • Prepare, receive, and communicate information from administrators and instructors
  • Keep classroom assignments and directory current
  • Inventory and order supplies as needed

Budget and Purchasing:

  • Maintain budget and purchasing records in accordance with college policies
  • Monitor transactions and follow up on outstanding requests
  • Process and track faculty travel requests and reimbursements, providing timely updates
  • Ensure compliance with institutional procedures and fiscal guidelines

Student Support and Engagement:


  • Serve as a point of contact for students by responding to inquiries and requests for information as directed by the health sciences division leadership
  • Provide general guidance, moral support, and assistance with student registration and processes
  • Support student engagement, recruitment, and retention initiatives within the Health Sciences Division

Continuous Development:

  • Collaborate as part of a team supporting internal and external partners
  • Assist with college-wide and program-specific recruiting and outreach events
  • Participate in divisional committees, work groups, and special projects as assigned
  • Coordinate and assist with special activities within the division


Compliance:

  • Maintain confidentiality and security of sensitive information
  • Adhere to all Forsyth Technical Community College policies and procedures
  • Perform other duties as assigned by the Health Science Division Leadership
