POSITION OVERVIEWWe are seeking an exceptional Executive Assistant to provide comprehensive support to our finance executive. This critical role requires seamless management of day-to-day operations in a fast-paced financial services environment while handling confidential matters with utmost discretion and professionalism.

The ideal candidate is a proactive problem-solver who anticipates needs, exercises sound judgment, and executes complex assignments independently with a white-glove service mentality.

KEY RESPONSIBILITIES

Executive Support & Calendar Management• Manage complex calendar scheduling across multiple time zones and resolve conflicts independently• Coordinate and prepare materials for client meetings, board meetings, and strategic sessions• Screen and prioritize communications ensuring timely responses to critical matters• Draft, proofread, and edit correspondence, presentations, and reports• Maintain strict confidentiality regarding all business, financial, and client information

Financial & Administrative Operations• Process expense reports, invoices, and reimbursements with meticulous accuracy• Assist with payroll tasks including timesheet review, data entry, and benefits coordination• Support accounting functions: accounts payable/receivable, reconciliations, document organization• Maintain organized digital filing systems for financial records and compliance documentation• Coordinate with external vendors, attorneys, CPAs, and consultants

Project Management & Strategic Support• Execute special projects and research assignments with minimal supervision• Prepare briefing materials, financial summaries, and executive reports• Track action items and ensure timely completion of deliverables• Coordinate comprehensive travel arrangements and detailed itineraries• Manage client onboarding processes for high-net-worth clientele

Client Relations• Serve as liaison between executive and internal team, clients, and stakeholders• Handle sensitive client inquiries with professionalism, discretion, and urgency• Coordinate client events, meetings, and communications• Prepare and distribute client communications and updates

REQUIRED QUALIFICATIONS• 3-5 years executive assistant experience supporting C-level executives in finance, accounting, or professional services• Background in payroll, accounting, or bookkeeping (QuickBooks, ADP, or similar platforms preferred)• Exceptional written and verbal communication skills with impeccable attention to detail• Proficiency in Microsoft Office Suite and Google Workspace• Proven ability to handle confidential information with discretion• Strong organizational skills managing multiple priorities and tight deadlines• Self-motivated with ability to work independently in remote environment• Professional demeanor suitable for high-net-worth client interaction• Bachelor’s degree preferred

PREFERRED QUALIFICATIONS• Experience in wealth management, private equity, or family office environments• Familiarity with CRM systems (Salesforce, HubSpot) and project management tools• Understanding of financial statements, tax documents, and compliance requirements• Notary public certification or willingness to obtain
