The Role:
This position supports the University by independently performing routine comprehensive administrative duties for the Regional Director and the Lynnwood University Center. The position also compiles reports and data; manages databases; preparing classroom/meeting room schedules; student tuition and fee payments, maintains budget records, coordinating office operations; and providing assistance related to multi-faceted quarterly admission and registration processes by helping students and the general public with referral or information, applications, forms, and other materials requiring knowledge of a variety of University policies and procedures. Position requires attending meetings and events on campus as assigned or requested. All employees are expected to uphold and contribute to CWU’s vision, mission, and values, fostering a culture of student success and institutional excellence.
Job Duties
Administrative S upport:
* Provides proactive administrative and operational support to the Regional Director, demonstrating initiative in identifying opportunities for process improvement and team efficiency.
* Collaborates with academic departments, faculty, and student services to ensure seamless program delivery and student engagement at the Lynnwood Center.
* Produces and maintains a variety of reports, as needed by the Regional Director in planning, organization and operation of the Lynnwood center.
* Facilitates responsive student support by coordinating advising appointments and assisting with academic planning processes.
* Produces letters, meeting notices and agendas, schedules, and other documents from rough drafts, notes, or recordings; takes and transcribes meeting minutes. Proofreads materials.
* Prepare materials for outreach and recruiting events including printing services as needed.
* Maintains, monitors and reconciles departmental budget monthly including departmental credit card. Order office supplies and other purchases.
* Establishes and maintains complex electronic and manual file systems/databases for department records ensuring confidentiality and following records retention policy.
* Manages and enhances the Lynnwood Center’s digital presence through strategic coordination of social, digital, and print media, aligning messaging with institutional branding and outreach goals.
* Represents the Regional Director and the Center with professionalism and cultural awareness at meetings, events, and conferences; delivers presentations that reflect the university’s values and commitment to student success.
* Actively engages in professional development opportunities to enhance technical skills, cultural competence, and leadership readiness.
* Assist human resources by creating and processing I-9 records for new employees.
* Support the training and mentorship of student employees as needed.
CWU Lynnwood O perational Support:
* Delivers responsive customer service to students, faculty, staff, and the public across multiple communication channels, ensuring accurate and welcoming support aligned with CWU’s values.
* Manages center opening/closing procedures and communicates timely updates regarding class or center closures, ensuring clarity and consistency across audiences.
* Coordinates classroom scheduling in collaboration with Academic Scheduling and academic departments, ensuring efficient use of space and alignment with instructional needs.
* Supports planning and execution of University Center events and orientation programs, well-organized experiences that foster student engagement and success.
* Prepare packets for new student orientation, outreach and recruiting events and any other events as needed.
* Represents the Lynnwood Center at outreach and recruiting events, preparing culturally relevant materials and engaging with prospective students to promote CWU’s programs and values.
* Manages incoming and outgoing mail and document distribution with accuracy and timeliness, supporting interdepartmental coordination and compliance with university protocols.
* Maintains inventory and operational readiness of office equipment, proactively addressing technical issues and coordinating with vendors or IT support as needed.
Fiscal Support:
* Maintain and monitor budgets and fiscal records including goods and services, department credit card; create reports.
* Reconcile budgets monthly; recognize inconsistencies; request budget corrections timely.
* Report reconciliations monthly and assist with reforecasting budgets based on those reconciliations.
* Research products for cost, durability, availability, departmental need, and state guidelines (if applicable).
* Order office supplies as needed.
General Student S upport:
* Maintains accurate student records in MyCWU, ensuring timely updates to personal, academic, and advising information while upholding data integrity and confidentiality.
* Uses spreadsheet to prepare Center Class Schedule.
* Supports the planning and delivery of new student orientation programs, including coordination of transfer advising to ensure a smooth transition for incoming students.
* Guides students through graduation and registration processes, providing clear explanations of policies and ensuring timely submission of required documentation.
* Provides first-line technical support for MyCWU-related issues, assisting students and faculty in navigating system functions and resolving access or data concerns.
* Serves as a liaison between students and key university services, coordinating multimodal appointments and ensuring students are connected to appropriate resources across departments and campuses.
* Facilitate effective referrals by helping students, faculty, and staff navigate university systems and connect with appropriate personnel or departments across CWU locations.
* Other duties as assigned.
Minimum Qualifications
- Increasingly responsible administrative, secretarial, fiscal or related work experience.
- Experience and/or training that demonstrates the ability to use Word, Excel, e-mail and/or similar software applications to produce written correspondence, create and maintain spreadsheets, receive, and respond to e-mail inquiries, tasks, etc.
- Excellent communication, interpersonal and organizational skills.
- Ability to provide excellent customer service including listening to customers, identifying is sues, providing options, fulfilling services and exercising knowledge of procedures to assist others.
- Ability to effectively organize multiple work assignments, which may involve competing priorities to produce work products that are accurate, of a high quality and meet deadlines.
- Attention to detail and strong time management skills are essential.
- Demonstrated ability and/or experience working collaboratively with students and/or colleagues to foster a supportive and effective learning and work environment.
- OR applicable combination of education and/or experience which demonstrates the ability to perform the essential functions of the position.
Preferred Qualifications
- Experience with financial, human resources and/or student data systems such as PeopleSoft and/or other system(s).
- Fiscal experience, training and/or education that demonstrates the ability to monitor and reconcile budgets, budgeting, payroll, travel, purchasing, compiling and interpreting fiscal data and providing related reports.
- Experience with social media.
- Demonstrated participation in programs designed to promote student success.
- Demonstrated commitment to improving access to higher education for students through various activities.

Pay, Benefits, & Work Schedule
Salary: This position is based on the range 41 of the Washington State Classification Listing, which has a minimum annual salary of $21,990 and maximum annual salary of $29,292 . In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the range is based on the candidate’s current experience, education, skills, and abilities related to the position. (adjusted for 0.5 FTE)
Schedule/Appointment: Monday – Thursday, 12:00pm – 5:00pm / PSE Bargaining Unit 9
Working Conditions: Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer workstation for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel may be required.
