Job Description Summary
The Administrative Coordinator will provide high level administrative support to
two Principal Investigators (PIs)/Program Directors within the Penn Vet Cancer Center and Comparative Immunotherapy Program at the School of
Veterinary Medicine. We are seeking a motivated candidate who possesses the skills to interact professionally with faculty and staff,
collaborators, advisory board members, regulatory authorities within the School and at the level of the federal government, and guest
lecturers.

Job Responsibilities
As an integral member of the team, the
Administrative Coordinator’s responsibilities will include:
- Provide administrative support for 2 PIs (equal distribution of time
between PIs), including calendar coordination, meeting scheduling, travel arrangements, meeting minutes, organizing meetings, and managing
communications with internal committees and the external advisory board - Coordinate schedules, travel, and accommodations for
visiting faculty, escort visitors during their time on campus, and manage reimbursements for invited speakers and board
members - Assist with assembling clinical trial budgets and coordinating collaborative projects, collaborative grant proposals, and
ensure clinical/collaborative projects are on track - Maintain media presence, website, and marketing. Interact with PennVet
Communications and Development Offices to build PVCC and comparative immunotherapy program awareness - Responsible for reimbursements,
purchasing, and managing all Ben Financial and Procard requests for office and lab supplies, equipment maintenance, etc. - Provide
administrative support for grant regulatory documentation, IACUCs, IBC, POAPs, communications with the FDA, and USDA - Provide backup
support for the Department of Biomedical Science administration, including assistance with faculty candidates, seminar speakers, department
meetings, etc. - Perform additional duties (administrative, financial, and operational) as
assigned
Qualifications
High School Grad/GE Degree, and 5 to 7 years of experience or equivalent combination of
education and experience is required. A Bachelor’s degree and 3-5 years of related experience are preferred. Social media and marketing
skills are a plus. Solid organizational skills, as well as written and verbal communication skills, are required. Must have excellent
computer skills, including Microsoft Office Suite and Adobe Acrobat. Must also have stellar customer service skills and pay meticulous
