Posting Summary
Rutgers University-Camden seeks an Administrative Coordinator reporting to the Director of Operations of DICE. The Administrative Coordinator provides comprehensive administrative and operational support for DICE. This position serves as a central coordination point for the division’s operations, ensuring the effective management of schedules, meetings, communications, and office logistics in support of divisional leadership and staff. The Administrative Coordinator manages complex calendars for senior leadership, coordinates divisional meetings and events, prepares agendas and meeting documentation, and supports the daily functioning of the office environment.
The role also provides operational support for procurement and financial processes, including coordinating purchasing requests, processing expense documentation, supporting vendor onboarding, and assisting with travel arrangements and related logistics. Additionally, the Administrative Coordinator assists with the coordination and implementation of divisional events and programs, supports communication and outreach efforts, manages event registrations and logistics, and coordinates the use of shared spaces within the division. Working closely with campus partners, faculty, staff, students, and community stakeholders, this position ensures efficient information flow, maintains organized records and documentation, and supports divisional initiatives through strong administrative coordination, attention to detail, and the ability to manage multiple priorities in a dynamic higher education environment.
The Administrative Coordinator is an integral part of the administrative, financial, and operational support. This position’s duties include the timely, accurate, and complete collection, recording, processing, and ongoing HCM management, among others; procurement support including vendor onboarding, purchase request submissions, facilitating the transfer of internal DICE grants, and budget management assistance; and general support for the DICE team, including calendar and meeting management, internal and external communications, event planning assistance, and report preparation.
This position will report directly to the Director of Operations. The individual in this position will work closely with the DICE directors, RU-C faculty, staff, and students, and external community partners. To ensure operational efficiencies and help maintain the resources of the division, this position will serve as the first-level contact regarding day-to-day office operations and administration. Additional duties include assisting with organizing, executing, and coordinating office procedures and routines; providing confidential, administrative, and general staff assistance in matters such as event logistics, travel arrangements, scheduling, research, basic web updates, report writing, the maintenance of student records, and the management of office and program functions. As this position will be the “front line” to stakeholders visiting the office, the position requires excellent customer service skills and the ability to prioritize tasks effectively.
The Administrative Coordinator will assist multiple projects, which could include the enforcement of policies related to human resources/personnel for staff and student workers. Further, the position will be responsible for coordinating special projects as required and directed by the Director of Operations.

Starting salary will be commensurate with qualifications and experience, within university policy and salary schedules, as well as departmental budgets.

Minimum Education and Experience
Bachelor’s degree or equivalent combination of education and experience; plus a minimum of two years of relevant experience in higher education or related context.
Preferred Qualifications
Bachelor’s degree and/or prior experience in higher education and event logistics. Fluency in Spanish.
Strong organizational skills, communication skills (written and verbal) as well as the ability to manage day-to-day activities along with long-term projects. Excellent work ethic and passion to learn plus ability to prioritize and multi-task are a must. Ability to initiate ideas and execute projects independently. An exceptional commitment to providing high quality customer service to students, staff, faculty, and visitors.
Equipment Utilized
Microsoft Office/Teams, Adobe Cloud, Google Workspace, web and design software (i.e. WordPress/Canva), use of various video conferencing tools (Zoom, WebEx, Teams, etc.), and email applications (i.e. Mailchimp). Knowledge of Rutgers E-learning system (Canvas), Navigate, Anthology (Engage), GivePulse (RCommunity), payroll (Human Capital Management System) and/or HR systems (PeopleSoft) are a plus.
