ADMINISTRATIVE OFFICE ASSISTANT III

Position Summary:
Provides exemplary executive support to the College of Science & Engineering and its faculty, staff, students, alumni, and external constituents. The position is responsible for complex and varied duties that support both the Colleges daily operations and its mission.
Required Qualifications:
High school diploma or GED.
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Preferred Qualifications:
Demonstrated proficiency in Microsoft 365.
Knowledge of specific software systems (e.g., 25Live, Scholarship Universe, Watermark).
Experience with the Universitys curricular process.
Duties & Responsibilities:
Provides administrative support to College leadership, which includes scheduling meetings, preparing and distributing correspondence and reports.
Coordinates the CSE Curriculum Committee, including scheduling meetings, preparation of meeting minutes, and managing College-level approval in the system.
Supports the Deans Advisory Council and other college-level committees by scheduling meetings with members, reserving rooms, preparing meeting minutes, and following up on action items.
Responsible for faculty Article VI meetings, working with the Dean and Associate Deans to ensure the letters are prepared and delivered to faculty members within 3 weeks of the meeting.
Accesses, updates, and prepares advancement reports for the Dean.
Prepares thank-you cards for donors.
Verifies scholarship and endowment account information.
Supports College advisory board, including communication with board members, maintains records, schedules meetings, prepares meeting minutes, and follows up on action items.
Plans, coordinates, and implements College events (CSE Annual Meeting, holiday reception, etc.), and takes responsibility for space reservations, and preparation and distribution of materials (invitations, agendas, and other informational items).
Coordinates catering and refreshments for meetings and events.
Manages the hiring, training, scheduling, and supervision of student employees.
Maintains College email lists and email account.
Distributes College-wide information when needed.
Assists the InSciTE director with administrative tasks.
Oversees CSE spaces in the ET building.
Organizes the College office workroom and manages ordering and restocking of office supplies.
Conducts special projects and assignments as directed by the Dean and Associate Deans.
Manages and maintains internal contact directories, including contact details for department leadership and the College organizational chart.
Supports faculty international travel workflow for College.
Performs other duties as assigned.
