General Description of the Position
Provides support to ensure efficient and effective operation of the Department in accordance with the mission, objectives, directives and policies of the University. This position reports to the department Chairperson.
Essential Functions & Required Knowledge, Skills and Abilities
- Maintains up-to-date and accurate files (manual and electronic) of requisitions & invoices, and marketing samples.
- Creates basic reports and documents as requested.
- Maintains inventory of the University’s collateral pieces as well as the department’s office supplies, reordering as directed.
- Understands billing process and prepares paperwork once a quote has been obtained.
- Maintains banner and signage inventory.
- Completes requests both internally and externally for promotional items, logos and other requests as needed.
- Actively and accurately inputs data (invoices, purchase orders) into database.
- Accurately reconciles each project in the database system to include final proofs, costs, quantities, etc.
- Assists in organizing communications materials & promotional items requested for a specific event.
- Inputs work orders for facilities and other campus-based services.
- Performs routine office functions such as answering telephones, redirecting calls, and receptionist coverage.
Qualification Standards
Minimum: Associate’s degree or high school graduate with four years’ experience or move working in a professional office setting preferably at a college or university.
- Excellent oral and written communication skills.
- Excellent organizational skills.
- Ability to interact with public in professional and pleasant manner.
- Computer proficiency in a Windows-based PC environment; familiarity with or ability to learn common software packages such as Microsoft Office/ File Make Pro/Adobe and other software as necessary.
