Job Summary:
This position is primarily responsible for the oversight and review of the front and back office operations of the Bursar’s Office, as well as to assist the Director of Student Accounts. The Assistant Director assists with the training of new employees in the bursar’s office and is able to make decisions on policies, procedures, and the distribution of tasks to be completed. This position has the authority to grant exceptions to policies as the situation warrants and stands in for the bursar’s office in meetings when the Director is not available.
Essential Duties and Responsibilities:
- Monitor and review student accounts refunds in e-refunds or checks.
- Monitor outstanding student accounts refund checks:
- Review policies, train new associate to handle these tasks and help resolve any issues.
- Follow up with associates to ensure escheating is done when necessary
- Veterans Affairs (VA) and Military:
- VA 33 & 31 tracking & billing
- Provide registration statements using RGST pneumonic in Colleague to Military Office for federal tuition assistance (FTA) students
- Navy billing
- Additional responsibilities when Director is out of office
- Coordinate orientation activities, including presentations
- Make decisions on removing holds, releasing transcripts and dealing with the more difficult situations
- Assists student accounts associates with customer service when lines develop or phones are busy – especially in summer
- Scholarships: Miscellaneous scholarship reconciliation research and serve on scholarship committee
- Trains new associates in processing refunds, customer service and other duties
- Checking and ordering supplies
- Run Financial Aid Transmittal Postings using FATP pneumonic in Colleague and send loan emails if federal loans are disbursed
- Test software updates and implement new software functionality
- Develop, monitor and maintain forms and workflows
- Account research and analysis
- Assist with evaluation & decision on online vendors
- Represent Bursar’s Office in meetings for student accounts related matters
- Organize collection efforts
- Implement ECSI Recovery Select if vendor approved
- Place past due accounts with collection agencies
- Additional tasks as time permits:
- Learn billing tables to back up Director and for professional development
- Learn 1098-Ts to back up Director and for professional development
- Other duties as assigned
Required Knowledge, Skills and Abilities:
- Above average computer skills including working knowledge of MS Word, Outlook, Excel and PowerPoint
- Working knowledge of Ellucian Colleague and/or TouchNet
- Excellent oral and written communication skills
- Must demonstrate excellent organizational, planning, analytical and operational management skills
- Must be able to independently set priorities to meet the needs of the University to achieve the required results
- Must have the ability to interact well with a diverse community of students, faculty and staff
- Ability to troubleshoot software issues
Education and Experience:
- Previous experience in Higher Education
- Minimum of 5 years’ experience required
- Bachelor’s Degree
Physical Requirements and Working Conditions:
- Prolonged periods of sitting at a desk and working on a computer.
- Occasionally lifting 25 lbs or less
- Typically standing or walking
- Typically bending, crouching, stooping
