Financial Aid Systems Administrator
Position
Summary
The Financial Aid Systems Administrator serves as the functional lead for Student Financial Aid within the Banner
Student Information System (SIS). This position manages the automation, development, maintenance, testing, and implementation of financial
aid system processes and serves as the primary liaison between the Office of Financial Aid, University IT, system programmers, and external
vendors. The incumbent supports financial aid operations through systems administration, data analysis, process improvement, compliance
oversight, and staff training.
Key Responsibilities
- Serve as the functional lead for
Student Financial Aid within the Banner Student Information System (SIS). - Manage and maintain financial aid system automation,
workflows, and business processes. - Build, maintain, and analyze Banner queries, reports, communications, and automated
processes. - Oversee inbound and outbound data processes and ensure data integrity and compliance.
- Package and award
institutional, state, and federal financial aid programs. - Test, validate, and implement new system functionality, upgrades, and
enhancements. - Serve as the primary point of contact for system programmers, technology vendors, and University IT.
- Provide
technical support, troubleshooting, and first-level help desk assistance to Financial Aid staff. - Develop, document, and maintain
operational procedures, system processes, and workflow documentation. - Collaborate with Financial Aid staff to identify system
improvements, automation opportunities, and data consistency initiatives. - Design and implement quality assurance protocols to
ensure system effectiveness and regulatory compliance. - Develop new technical processes, data analyses, and reporting solutions to
improve services for students and staff. - Execute, test, and evaluate system reports and collaborate with University IT to develop
reports using Argos and other reporting tools. - Support annual financial aid system setup and rule-writing processes, including
disbursement rules, SAP calculations, and packaging configurations. - Conduct routine system testing to ensure operational
functionality and compliance with federal, state, institutional, and reporting agency requirements. - Identify operational needs and
recommend process improvements to increase efficiency, effectiveness, and regulatory compliance. - Troubleshoot, update, modify, and
analyze financial aid data and information systems. - Coordinate software testing, data integration processes, and implementation of
system upgrades and new releases. - Collaborate with Financial Aid Systems Specialists across PASSHE institutions to validate,
verify, and test software and database enhancements. - Interact with technology vendors (e.g., Ellucian, CampusLogic) and campus
partners to ensure effective delivery of services and solutions. - Develop and deliver training programs and ongoing support for
Financial Aid staff regarding technology applications and system processes. - Communicate with internal stakeholders and external
agencies to resolve issues, exchange information, and support operational needs. - Represent the Office of Financial Aid on
university committees and at professional organizations and associations.

Minimum Qualifications
Required qualifications:
A Bachelor’s
degree or equivalent combination of education and experience; and at least five (5) years of experience from which comparable knowledge and
skills can be acquired.
Preferred Qualifications

Degree in
business administration, student personnel services, information technology, or a related area.
Experience of leadership skills
working with professional and office support staff, excellent
organizational skills with the ability to work under
pressure and meet deadlines, interacting
professionally with diverse personalities and excellent verbal and written communication skills
are requested.
The successful candidate should demonstrate a strong working knowledge of federal and state financial aid regulations,
strong interpersonal presentation skills; self-starter; able to work with minimum supervision when required; strong attention to detail;
exceptional customer service and interpersonal and communication skills (written, verbal and presentation); knowledge of Banner, Slate,
Argos or other related reporting tools and the Microsoft Office Suite a strong plus.
