applications for a Department Coordinator within the Baker School Marketing Communications and Entrepreneurship Departments.
Job Description:
The Department Coordinator provides comprehensive administrative, operational, and academic support
to the Department Chairperson, Assistant Chairs, faculty, and students. The role ensures the efficient day-to-day functioning of
departmental operations, supports faculty lifecycle processes, maintains academic and administrative records, and serves as a key liaison
between the department, the School, and the College. The Coordinator exercises independent judgment, discretion, and initiative while
handling sensitive and confidential information.
Essential Functions:
Administrative & Office
Operations
- Perform a wide range of varied administrative duties in support of departmental and program
needs. - Provide administrative support to the Chairperson, Assistant Chairs, faculty, Classroom Assistants, and Technicians.
- Manage incoming calls and inquiries; greet and direct students, visitors, and external contacts.
- Handle department
mailings, postings, listserv communications, and general correspondence. - Organize, maintain, and improve office records, procedures,
filing systems, inventory, and supplies. - Handle confidential information and materials with discretion and
professionalism. - Work independently and take initiative in identifying and resolving administrative issues.
- Assist with
special initiatives in collaboration with the Department Chair and faculty.
Chair, Faculty & Governance
Support
- Compose, edit, and distribute correspondence and documents on behalf of the Chairperson and Assistant
Chairs. - Maintain Chair and Assistant Chair calendars; schedule meetings and appointments.
- Prepare and distribute agendas and
meeting materials. - Attend department and college-wide meetings; take notes and prepare accurate and thorough meeting
minutes. - Maintain faculty office hours and assist with faculty absence reporting using the Faculty Absence Reporting System (FARS).
Assist with faculty assignments in accordance with AOP lists and maintain faculty pedagogic information in Banner.
Curriculum, Academic & Student Support
- Assist with curriculum record-keeping and updates through the
Curriculum Inventory Management (CIM) system. - Support academic operations including course scheduling support, course cancellations,
and preparation of related forms and notices. - Serve as a point of contact for students regarding departmental academic
procedures. - Use Banner, Hyperion, Argos, WinSCP, and other institutional systems to retrieve, compile, and analyze data and reports
for departmental, School, and College use. - Maintain accurate academic, faculty, and program records across
systems. - Coordinate with faculty, publishers, and the FIT Bookstore to order, maintain, and update course materials and
textbooks. - Support study abroad programs in coordination with the Chair and Assistant Chairs, including scheduling, communications,
and documentation.
Faculty Lifecycle: Hiring, Tenure & Promotion
- Assist with faculty recruitment,
onboarding, and new hire processes. - Support tenure and promotion processes, including documentation, scheduling, and meeting
coordination.
Budget, Purchasing & Financial Support
- Prepare, process, track, and follow up on
purchase orders and equipment repairs in coordination with Classroom Assistants and Technicians. - Assist with departmental and
foundation budgets as required. - Prepare petty cash and reimbursement forms in accordance with College policies.

Requirements:
Minimum
Qualifications:
- Bachelor’s degree required.
- 3-5 years of office administration, administrative support or
appropriate related experience. - Working knowledge of Microsoft Office 365 and/or Google Suite.
Preferred
Qualifications:
- 5+ years of experience in office administration or administrative support.
- Knowledge of Finance
Enterprise, Argos, Banner, WinSCP, Google Suite, Photoshop, Adobe Acrobat (for PDF), and Smartsheet.
Knowledge,
Skills, & Abilities:
- Excellent verbal and written communication skills.
- Strong computer
skills. - Conscientious, self-motivated, flexible, and punctual.
- Ability to problem solve, work independently, and excel in a
team-oriented environment. - Must be detail oriented and possess a high degree of diplomacy and confidentiality.
- Must possess
and demonstrate excellent service skills and the ability to work with a diverse constituency. - Ability to communicate effectively,
prioritize tasks, and handle multiple tasks/projects. - Working knowledge of Microsoft Office 365 and/or Google Suite.
Additional Information:
Please note all offers of employment are contingent upon successful completion of the

Salary
Salary: $70,522.32 per year
Hiring Salary:
$70,522.32 per year with step increments per Salary Schedule 92, after one year of service and annually thereafter.
Work
Schedule
Days/Hours: M-F, 9am-5pm, in person; work schedule subject to change based on needs of the department.
