The Executive Assistant ensures the effective coordination of academic, administrative, and operational activities that support the teaching
and learning mission of the School.

Job responsibilities include, but are not limited to, the following:

  • Provide
    administrative support to the Director, including calendar coordination, meeting preparation, and general office management.
  • Serve
    as the primary point of contact for the School of Visual Studies office, assisting faculty, students, staff, and visitors.
  • Coordinate course scheduling processes in collaboration with program coordinators and the Director, including classroom assignments
    each semester.
  • Support faculty governance processes, including coordination of elections, committees, and related documentation.
  • Assist with preparation of tenure and promotion materials and other academic deliverables.
  • Coordinate documentation and
    data collection efforts in support of accreditation reviews and reporting requirements.
  • Compile assessment data and assist in the
    preparation of reports that support program evaluation and continuous improvement initiatives.
  • Support faculty and students across
    a range of academic and program-related activities.
  • Coordinate scholarship and awards processes in partnership with the Awards
    Committee.
  • Process and track financial transactions, including reimbursements and allocations in accordance with university
    policies.
  • Coordinate travel arrangements and conference logistics for faculty and visitors.
  • Arrange rooms, catering, and
    logistics for meetings, events, and school-wide functions.
  • Record and distribute meeting notes as needed.
  • Maintain
    effective communication within the unit and respond to routine inquiries.


Shift

Generally, Monday to
Friday, 8am to 5pm.

Minimum Qualifications


Bachelor’s degree or an equivalent combination of education and
experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is
necessary.

Preferred Qualifications * Experience supporting academic or higher education environments

Experience coordinating complex schedules, events, or academic processes
* Strong organizational skills with the ability to manage
multiple priorities
* Strong interpersonal and communication skills


Anticipated Hiring Range



Salary
Range: $19.25 – 27.40 per hour
