Overview
This position will coordinate all aspects of graduate study including assistance with the
processing of applications, maintaining student records, and verifying graduate degree completion. This position will interact with many
different areas both on and off campus in order to maintain accurate records for all current and former graduate students. This individual
provides highly integrated administrative services which support the academic goals of the graduate students. Occasional travel to other
campuses may be required.
Responsibilities
- Meet enrollment targets by providing best in class support to
incoming students prior to their arrival on campus by conducting webinars, offering campus tours, conducting email, text, and phone
outreach. - Work closely with the admission team including co-staffing prospective student events and activities ensuring a smooth
transition from prospective to current student. - Provides excellent customer service to current students by being their main point of
contact, assisting and directing students to proper resources. - Facilitates the application evaluation workflow process between the
applicant the program graduate faculty. - Prepares correspondence and financial aid offers in accordance with departmental admission
decisions. Ensure that accepted applicants receive relevant information relating to admissions and enrollment
requirements. - Responsible for providing detailed information on program offerings, learning management system assistance,
administrative guidance on policy, exceptions, and ensuring that the students’ concerns are addressed or escalated
appropriately. - Responsible for administrative tasks associated with student experience management, including evaluating and
documenting procedures, working professionally with students in order to enforce policies, provide information and guidance. - Develop
and deliver new graduate student orientation and check-in events; both onsite and online. - Works closely with Student Administrative
Services, International Office and academic department to ensure that students are enrolled and check-in on time as well as enrollment
compliance with financial aid offers, if applicable. - Oversees departmental offices in the initial processing of all graduate
teaching and research appointments. Acts as a liaison between the Graduate School and Sponsored Research Services with emphasis on
verification of research funding availability. - Processing Department Scholarship Awards and Graduate Appointment awards to student
records. Works closely with Student Administrative Services and Student Financials to ensure awards are in line with tuition charges and if
updates need to be made, completes necessary follow-up so that University financials are reflecting accurately. - Provides
administrative support to graduate students by facilitating withdrawal forms for leaves and deferments, course waivers and transfers,
monitoring academic standing and degree completion progress, and ensuring timely and accurate dissertation publishing if
applicable. - Works closely with Program owners to ensure students are matched appropriately with faculty advisors and is correctly
reflect in PeopleSoft. - Builds relationships with faculty and staff in order to work effectively and efficiently to provide students
with service excellence. - Attend meetings as appropriate and represent the Graduate School and graduate students at University
events. - Participate in professional development activities.
- Exercises independent judgment daily to ensure highly sensitive
and confidential student data is communicated and managed appropriately. - Plays an active role in the development of strategic and
operational plans as required by department leadership - Works closely with team members and leadership to achieve successful results
on all established individual and departmental goals and key enrollment indicators. - Hire, train, direct, and supervise student
workers - Works with the Graduate marketing team to establish and manage messaging, activities and web content for admitted students
to encourage a positive response and commitment to enroll - Present a courteous and helpful tone when interacting with all
constituents including faculty, staff, students and the general public - Other duties as
assigned
Qualifications
Education:
Minimal Qualifications: Bachelor’s degree in
business, liberal arts or the sciences plus three years of related experience or equivalent combination of relevant education and
experience.
Preferred Qualifications: Bachelor’s degree in business, liberal arts or the sciences and five years of experience
working with college students in an administrative or advising capacity.
Experience:
Minimal Experience: At least
three years of demonstrated experience and commitment to Customer Service.
Preferred Experience: Five years of experience working with
college students in an administrative or advising capacity.
Essential Skills
- Knowledgeable of trends,
challenges and opportunities in adult and online education and demonstrates enthusiasm for building a successful overall
