Essential Job Duties:

Primary Purpose of the Position
The Graduate Program Specialist position offers support for the M.S. and Ph.D. programs in the Department of Computer Science. This position actively engages in student services, managing graduate program operations, and collaborating with the Director of Graduate Programs (DGP), Graduate Services Coordinator (GSC), and the Graduate Admissions team.
Essential Duties and Responsibilities
- Serve as a point of contact for graduate students, faculty, and prospective applicants; respond to inquiries in a timely and professional manner.
- Advise and support graduate students from matriculation through graduation, including program milestones and registration processes.
- Interpret and apply university and departmental policies to resolve student-related issues.
- Coordinate with campus offices, including the Graduate School, College of Engineering, and Office of International Services.
- Assist with graduate assistantship appointments, including tracking Graduate Student Support Plan (GSSP) eligibility and ensuring timely and accurate entry into university systems.
- Maintain and update student records across multiple systems (e.g., SIS, NextGen Graduate Appointment System, GradWatch, and other internal databases).
- Prepare and distribute communications to applicants, incoming students, and enrolled students in accordance with the program’s communication plan.
- Collect, analyze, and report data to support program operations, benchmarking, and continuous improvement efforts.
- Attend training sessions and remain current on university policies, procedures, and systems.
Other Work/Responsibilities:
- Assist with departmental events, including Open House, recruitment activities, and graduation ceremonies.
- Perform other duties as assigned.
Required Qualifications:
- Proficiency in Microsoft Word and Excel
- Strong written and verbal communication skills
- Excellent organizational skills and attention to detail
- Ability to work independently on defined tasks and collaboratively in a team environment
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
Preferred Qualifications:
- Experience working in a university or academic environment
- Familiarity with student information systems and administrative databases
- Experience supporting student services, advising, or orientation programs
