Overview

The Division of Institutional Planning & Operations (IP&O) employs a workforce of approximately 2,700 staff, represented by 15 collective negotiations agreements, and is responsible for institutional strategic initiatives and operations, which encompasses an expansive range of comprehensive service and business operations across the State of New Jersey. These include planning and construction, facilities, public safety and emergency operations, environmental health and safety, transportation, housing, and auxiliary/retail operations.


Posting Summary

Rutgers, The State University of New Jersey, is seeking a Head Clerk for the Division of Institutional Planning & Operations (IP&O).

Among the key duties of this position are the following:


  • Coordinates with the Assistant Manager and/or Manager for assistance in providing the ultimate customer service experience.
  • Resolves customer inquiries and service issues for the Department of Transportation Services (DOTS) within IPO for all University wide campuses along with affiliated entities such as University Hospital. This includes the responsibility for operation and instruction in the use of specialized online service applications, etc.
  • Effectively disseminates information, answers queries and concerns about Department of Transportation Services. Has the ability to create and update user accounts, assists with the issuance of permits and processing appeals.
  • Under administrative direction, including but not limited to Assistant Manager and/or Manager, performs additional DOTS duties.
  • This position has access to sensitive and confidential student and UHR data/information relating to an employee’s title, work and home location, salary, etc.

Minimum Education and Experience


  • High school/vocational school education or equivalent plus four years of any equivalent combination of: clerical experience, secretarial experience, advanced secretarial or business training, or college-level study.

Required Knowledge, Skills, and Abilities

  • Must be able to communicate effectively.
  • Must have effective client service skills and impeccable attention to detail.
  • Requires the ability to record and maintain data in computerized and non-computerized formats.
  • May require the ability to group lead.
