Summary
The Office of Enrollment Services at Eastern Washington University seeks two (2) part-time Office Assistant III to support Enrollment Business Operations-the behind-the-scenes work that keeps enrollment systems compliant,
coordinated, and functioning effectively.
Enrollment Business Operations designs and maintains the operational processes that enable
Enrollment Services units-including Admissions, Financial Aid, EWU in the High School, Running Start, Summer
Session, and Enrollment Communications-to do their work well. While this role is not student-facing, the accuracy, consistency, and
continuity of this work directly support the universitys ability to serve students equitably and responsibly.
The Office Assistant
III provides administrative and operational support for the Enrollment Services unit. Responsibilities include
front-office support for the AVP office, responding to internal and external inquiries, processing financial and
travel transactions, maintaining confidential records, and assisting with unit-wide events and special projects. The position supports both
routine operational work and time-bound initiatives that are essential to enrollment activity and fiscal compliance.
Working closely
with the Enrollment Administrative Officer & Assistant to the Associate Vice President, the Office Assistant III
helps maintain workflows that ensure operational continuity and institutional reliability. The role collaborates regularly with Enrollment
Services staff, campus partners, and external vendors, requiring clear communication, discretion, and a working knowledge of university
policies and procedures.
This is an in-person position on our beautiful Cheney, Washington campus.
This position is part-time
(up to 950 hours per year), and is well-suited for someone who values purposeful, detail-oriented work that supports a public universitys
mission from behind the scenes. Successful candidates are organized, proactive, and collaborative, with sound judgment, curiosity, and an

The pay for this position is $18 to $20
per hour. PEBB benefits may be available after 6 months of employment.

Required
Qualifications:
High School Diploma or GED.
Two years of progressively responsible
administrative or office support experience, or equivalent experience.
Demonstrated ability to work respectfully and effectively with
individuals from a wide range of backgrounds, experiences, and perspectives
Ability to manage multiple tasks, maintain attention to
detail, and meet established deadlines.
Ability to communicate clearly and professionally, both orally and in writing.
Ability to
understand and follow ethical standards, regulations, policies, and procedures governing university operations and state resource
management.
Ability to work independently with minimal supervision and collaboratively as part of a team.
Proficiency with standard
office software and technology, including Microsoft Office, Adobe Acrobat Pro, Google Workspace, and routine use of computers and mobile

Preferred Qualifications:
Associates or Bachelors degree, or equivalent experience.
Experience with Adobe Creative Cloud, Tableau, relational databases, or similar systems.
Experience supporting projects or
administrative initiatives from planning through completion.
Familiarity with Higher Education administrative systems, policies, or
business practices.

Job Duties:
Administrative & Fiscal
Support (30%) Perform skilled administrative and operational support work for Enrollment Business Operations, following established
university and state procedures. Process purchasing and payment transactions using approved methods, including P-Card transactions, purchase
requisitions, invoice processing, and reimbursement documentation. Maintain accurate financial records, track expenditures, and assist with
month-end budget review and reconciliation activities as directed. Maintain P-Card documentation, conduct transaction reviews, and complete
month-end reconciliations for Enrollment Services P-Cards in accordance with policy and documentation standards. Assist with drafting and
processing service agreements, invoices, IDPOs, Journal Vouchers, A19 documents, and staff reimbursements in collaboration with department
partners. Maintain confidential financial and departmental records in compliance with FERPA, document retention schedules, and best
practices. Identify discrepancies or procedural issues related to expenditures or purchasing and communicate concerns to the supervisor for
resolution. Participate in periodic review of departmental procedures and training materials, providing input and identifying opportunities
for updates based on accuracy, efficiency, and changes to policy.Percent of Time: 30
Travel Administration
(Approximately 60%) Provide administrative coordination for Enrollment Services travel activities, with emphasis on Admissions and
Dual Enrollment recruitment travel. Maintain awareness of the units annual travel calendar to support timely planning and coordination.
Communicate with staff regarding travel needs and arrange transportation, lodging, and registrations using university-approved vendors and
protocols. Maintain CTA card documentation and complete timely monthly reconciliations in accordance with departmental and Travel Accounting
requirements. Prepare Advance and Expense reports in the Concur travel and expense management system within established timelines. Compile
documentation and assist with preparation of quarterly or annual recruitment travel reports as directed. Remain current on travel accounting
policies, procedures, and system updates as they relate to assigned duties. Assist with reviewing and updating department-issued travel
training materials to ensure clarity and compliance.Percent of Time: 60
General Office Support (Approximately 10%)
Provide general administrative support for Enrollment Services operations, including drafting correspondence and proofreading
confidential documents and materials. Develop and maintain effective working relationships with Enrollment Services staff, campus partners,
and external vendors. Conduct annual review of unit technology inventory, verify assignments, and coordinate surplus of inactive equipment.
Maintain proficiency with office systems, software, and tools required for day-to-day operations. Provide limited backup support for
front-desk or recruitment-related activities as needed. Perform other duties as assigned within the scope of the classification. Position
Details Part-time, non-student, non-benefited position. Limited to a maximum of 950 hours per year. Schedule to be determined based on
operational needs. This position is primarily behind the scenes and is not a student-facing role. Work is assigned within defined procedures
and timelines and is structured to align with the positions hourly limits.Percent of Time: 10

This is an in-person position on our Cheney campus.
The successful candidate must be to

Salary Information:
The hourly wage for this position is $18.00 (minimum) up to $20.00.
Where the hired candidate will begin within this range is dependent on education, experience, and skills.
