Job Summary
Serves as the primary administrative support professional for the Department of Mathematics, providing administrative support to the department chair, faculty, and students. Coordinates day-to-day departmental operations and assists with academic, budgetary, personnel, and operational functions while ensuring compliance with university policies and procedures.
Essential Duties
1. Academic Program and Student Support
- Coordinate the department schedule of classes, including schedule entry, revisions, enrollment monitoring, and registration-related processes.
- Maintain student academic records and departmental files.
- Assist students with degree plans, degree evaluations, graduation requirements, course substitutions, and related academic processes.
- Provide information regarding departmental and university policies, procedures, and academic programs to students, faculty, staff, and visitors.
2. Administrative and Office Operations
- Coordinate day-to-day office operations, including maintenance of supplies, equipment, records, correspondence, and departmental communications.
- Manage departmental email, mail distribution, office equipment, and administrative support functions.
- Coordinate departmental meetings, special events, room reservations, and other administrative activities.
3. Budget, Purchasing, and Financial Administration
- Assist with monitoring departmental budgets and university accounts.
- Prepare purchasing and financial documentation, track expenditures, reconcile records, and provide budget information to the department chair.
- Assist faculty and the department chair with purchasing, travel, reimbursements, and other financial processes.
4. Personnel and Departmental Support
- Assist with personnel-related processes, including student employee hiring, onboarding, scheduling, time record monitoring, and training.
- Provide administrative support to the department chair and faculty by coordinating personnel transactions and other departmental processes.
5. Customer Service, Compliance, and Records Management
- Serve as the primary point of contact for the department and provide professional customer service to students, faculty, staff, and the public.
- Maintain departmental records and documentation in accordance with university policies regarding confidentiality, records retention, and student privacy.
- Perform other administrative and operational duties as assigned in support of departmental goals and university initiatives.
Knowledge, Skills and Abilities
Knowledge
- General office administration, clerical procedures, records management, and business correspondence.
- University policies, procedures, and regulations, or the ability to learn and apply them effectively.
- Microsoft Office applications (Word, Excel, and Outlook), Banner, Cognos, DegreeWorks, Adobe Acrobat, and other university software systems.
Skills
- Planning, organizing, and prioritizing work to meet multiple deadlines in a fast-paced academic environment.
- Providing professional customer service and building effective working relationships with students, faculty, staff, and the public.
- Communicating effectively, both verbally and in writing.
- Performing basic mathematical calculations and reconciling financial information.
Abilities
- Interpret and apply policies, procedures, and regulations while exercising sound judgment.
- Maintain confidential records and information with discretion.
- Perform detailed work requiring accuracy, attention to detail, and effective recordkeeping.
- Manage multiple assignments with minimal supervision while adapting to interruptions and changing priorities.
- Operate standard office equipment and maintain electronic files and records.
Minimum Qualifications
A high school diploma or GED certificate is required.
Preferred Qualifications
Three years of administrative support experience in an academic, administrative, or professional office environment is preferred.
