Job Description:


General Statement of Duties

The Clinical Placement Coordinator supports clinical and practice experiences for two online programs within the Department of Nursing: the Graduate Forensic Nursing track and the RN to BS Nursing program. This dual-focus position manages the logistical lifecycle of clinical placements for forensic graduate students while monitoring RN-BS practice experience documentation, collaborating with faculty, and supporting compliance. The coordinator serves as a primary liaison among the university, external agencies, faculty, students, and internal support units.  Reports To: Chair Graduate Programs & Program Manager of RN to BS online program



Duties & Responsibilities

  • Site Development: Identify and secure placements within trauma centers, medical examiner/coroner offices, and healthcare or justice organizations across the U.S. and Canada.
  • Liaison & Contract Management: Serve as the central contact for clinical agencies; facilitate and renew Affiliation Agreements.
  • Compliance Oversight: Verify student documentation requirements (immunizations, background checks, HIPAA, CPR, drug screening, licensure, etc.).
  • Onboarding & Clearance: Guide students through site-specific onboarding portals and ensure clearance prior to clinical start dates.
  • Student Monitoring: Maintain ongoing communication with students and faculty regarding placement progress and unmet requirements.
  • Marketing & Promotion: Promote the Forensic Nursing Track to external organizations to support recruitment and placement pipelines.
  • Recruitment Participation: Collaborate with Admissions and SGOCE for information sessions, virtual fairs, and outreach events.
  • Digital Updates: Audit and update program webpages and social media content.
  • Inquiry Response: Respond to prospective and current student inquiries regarding program structure, placements, and logistics in collaboration with the SGOCE office.

RN to BS Nursing Program – Practice Experience Coordination


  • Paperwork & Documentation Monitoring: Track and verify required student paperwork for practice experiences (e.g., RN licensure verification, mentor forms, evaluation documents, site information).
  • Faculty Collaboration: Work closely with course faculty to monitor student progress, communicate concerns, and align practice experiences with course and program outcomes.
  • Mentor & Community Communication: Support communication with mentors and clinical/community settings to clarify expectations and ensure accurate documentation.
  • SGOCE Collaboration: Coordinate with SGOCE to support student progress, course registration needs, and communication regarding practice experience requirements.
  • Student Guidance: Provide students with clear instructions for practice experience documentation, deadlines, and expectations.
  • Record Management: Track student completion of documentation and evaluations in accordance with accreditation and departmental requirements.

Cross-Program Administrative Functions

  • Data & Reporting: Assist with the preparation of reports needed for accreditation, program evaluation, and compliance.
  • Systems Management: Utilize LMS, CRM, shared databases, and/or clinical tracking software to support workflow.
  • Continuous Improvement: Recommend process improvements to enhance student experience and operational efficiency.
  • FERPA Compliance: Maintain confidential records in accordance with FERPA and institutional policies.


Requirements:

Required Qualifications

  • Education: Bachelor’s degree required; Master’s degree in Nursing, Health Administration, Education, or related field preferred.
  • Experience: Minimum 2-3 years of experience in higher education, healthcare coordination, academic advising, outreach, or a related role.
  • Communication Skills: Strong oral and written communication with the ability to interface with external agencies, faculty, and adult learners.
  • Technical Skills:


                – Proficiency with Microsoft Office Suite (Excel, Word, Outlook)
               –  Experience with LMS or clinical tracking platforms (e.g., CastleBranch, Typhon, Exxat) preferred



  • Organization & Detail: Demonstrated ability to manage multiple deadlines, complex data, and compliance documentation with accuracy and independence.
     

Additional Information:

Work Environment & Schedule


  • Setting: hybrid or remote environment with significant computer use.
  • Travel: Occasional travel to clinical sites or recruitment events may be required.
  • Schedule: Part-time, primarily Monday-Friday; occasional evening/weekend obligations for virtual sessions or events.
  • Hourly rate $30.00.
