The Performing Arts
Administrative Assistant assists the Academic Department Heads of Music and Theatre Arts in supporting the mission and culture of the
University and the departments by serving as the point of contact for scheduling, building management, onboarding new employees, and office
functionality. This position works with faculty, students, staff, and external clients to ensure room access and availability as the
building manager for Moss Performing Arts Center, supervises student employees, submits facility maintenance requests, and oversees office
supplies and functionality.

CAPACITY
REQUIREMENTS


  • Assist the Academic Department Heads of Music and Theatre
  • Serve as building manager for Moss Performing Arts
    Center
  • Schedule rooms for departmental functions, coordinate with university scheduling for external clients, and coordinate with
    Box Office Manager and Academic Department Heads regarding performance scheduling
  • Ensure access throughout Moss Performing Arts
    Center and Maverick Stampede Storage Building via keys and cards for all faculty, students, staff, and external constituents, as well as
    coordinate access for performing arts constituents at Asteria Theatre.
  • Submit work orders for maintenance requests
  • Onboard
    and supervise student employees
  • Facilitate onboarding of new faculty, including office signage, mailbox, copy codes, name badge,
    business cards, and key/electronic access, and coordinate with Performing Arts Enrollment Manager regarding advisor
    assignments
  • Distribute course evaluations to faculty
  • Maintain stock of and order office supplies
  • Record departmental
    meeting minutes
  • Assist with copy and print troubleshooting
  • Assist with Rental Performance Contracts and return
    scripts
  • Assist with mailings

ESSENTIAL EXPERIENCE FOR RIGHT FIT

  • Bachelor’s degree
  • Demonstrated
    experience with Microsoft Office, Microsoft Outlook, and SaaS software
  • Strong communication and organizational
    skills
  • Ability to manage and complete tasks with multiple steps and constituents
  • Self-motivated
  • Ability to adapt to
    process changes and troubleshoot problems
  • Ability to supervise student staff
