Job Description
Summary

Supports financial and administrative operations for an assigned area and assists with the development of and administers
operating budgets. Responsibilities include grant administration, financial reporting, purchasing, travel, payroll, and onboarding of new
staff. Coordinates facilities and space planning, information technology support, and provides reports and analysis to leadership to support
decision making.

Job Responsibilities

  • Work closely with senior management to
    develop and administer annual operating budgets as well as ongoing management of endowments, gifts, residuals, etc. Will be responsible for
    the management of accounts for a set number of service lines/ departments and provide reports as needed to faculty directors and senior
    management.
  • Will assist with the development of proposal preparation, including budget preparation for grant
    submissions.
  • Provide financial support for a set number of departments/ divisions. This includes purchasing, travel and expense
    activity, and journal entries
  • Will be involved in all areas of payroll and HR. Assist in creating job postings, recruitment, hiring
    of new staff. Responsible for on-boarding of all new staff. Assist grants managers with creating and monitoring distributions for
    staff
  • Coordinate all facilities and IT support requests. manage space inventory and work with senior leadership when space
    requests/moves occur. Make recommendations regarding the usage of space and provide recommendations to senior leadership regarding this
    usage. Implement space changes/moves and be the point person for all aspects of related to space management
  • Other duties and
    responsibilities as assigned


Qualifications

  • Associate of Science and 2 to 3 years of experience or equivalent
    combination of education and experience is required.

Salary offers are made based on the candidate’s qualifications, experience, skills, and education as they directly
relate to the requirements of the position, and in alignment with salary ranges based on external market data for the job’s level. Internal
organization and peer data at Penn are also considered.
