Essential Functions
The Facilities Project Coordinator reports directly to the Sr. Director of Physical Plant & Facilities Operations and provides clerical, operational, and project coordination support to the Sr. Director and departmental coordinators. The position supports facility projects, procurement activities, contractor and vendor coordination, work order/requests, inventory and asset management, facility access/key management, and departmental recordkeeping across all College locations.
The position assists with the coordination of small- to medium-sized facility projects, such as classroom and laboratory improvements, office renovations, flooring and carpet replacements, door and hardware upgrades, furniture installations, athletic facilities, campus beautification initiatives, building maintenance services, college events, and other facility services. Support in obtaining contractor and vendor quotations, coordinating schedules and activities, preparing procurement and purchase requisition documentation, maintaining project records, contracts, warranties, inventory, and asset documentation, and tracking project status through completion.
This position provides operational support to departmental staff and assists with the coordination of small- to medium-sized facility projects while ensuring materials, resources, and project activities are properly coordinated. The position serves as a collaborative resource to support departmental operations and assist in the successful completion of projects and daily facility service needs.
This position serves as a support role within the Physical Plant & Facilities Department and does not directly supervise maintenance, custodial, grounds, HVAC, transportation, or property management personnel. The position works collaboratively with departmental coordinators, managers, and staff to support departmental initiatives.
Maintains effective communication with departmental personnel, contractors, vendors, campus departments, students, faculty, staff, and visitors.
Job Duties and Responsibilities
Provides project coordination support for the planning, scheduling, tracking, and documentation of facility projects, facility improvement initiatives, and departmental operations.
Provides operational support for work order – service requests, and activities related to maintenance, custodial, grounds, HVAC, transportation, property management, and facility access/key management services.
Provides procurement support by obtaining vendor quotations, coordinating contractor and vendor communications, preparing supporting documentation, and assisting with purchasing activities, procurement processes, and project scheduling.
Provides coordination support for office renovations, classroom and laboratory improvements, furniture installations, flooring replacements, athletic facility improvements, campus beautification initiatives, college events, and other facility-related projects.
Assists in the documentation of projects, procurement records, inventory records, asset management records, contracts, warranties, and other departmental files.
Monitors project schedules, material deliveries, procurement activities, and project status, and provides updates regarding operational needs to departmental leadership.
Supports departmental initiatives, special projects, emergency response activities, and College events.
Utilizes work order management systems, project scheduling software, inventory management systems, and Microsoft Office applications to support departmental operations and recordkeeping.
Performs other related duties as assigned in support of the Physical Plant & Facilities Department and the College.
Assists all physical plant staff, building maintenance, custodial services, grounds, property management, shipping & receiving, fleet & transportation, HVAC, trades, and mechanical services staff in the accomplishment of their work (projects, events, on-going programs), and performs other tasks as assigned by the Director in support of the College and Facilities services.
Qualifications
Minimum Qualifications:
High School Diploma or G.E.D. required.
Associate degree in Facilities Management, Construction Management, Business Administration, Project Management, or a related field preferred.
Preferred Qualifications:
Minimum of three (3) years of experience in facilities operations, maintenance, construction support, project coordination, inventory management, procurement, property management, or a related field.
Working knowledge of commercial building operations, maintenance procedures, inventory management, purchasing processes, and contractor coordination.
Ability to coordinate multiple projects and assignments simultaneously.
Ability to maintain records, inventories, service documentation, warranties, manuals, and departmental files.
Effective organizational, planning, and communication skills.
Ability to establish and maintain effective working relationships with faculty, staff, students, contractors, vendors, and the public.
Experience utilizing Microsoft Office applications, work order systems, inventory software, and other computer-based programs.
Experience using project scheduling and project management software such as Microsoft Project, Microsoft Planner, Smartsheet, or similar platforms preferred
Requires regular, reliable, and predictable work attendance.
Must possess a current Texas Driver’s License or obtain one within thirty (30) days of hire.
Prior experience at a school district, college, or a similar higher education environment, or a large multi-building facilities environment.
Bilingual ability preferred
Subject to a criminal background check before employment.

Other Responsibilities:
Will participate in Quality Enhancement Plan (QEP)
Will participate in college responsibilities such as the Institutional Effectiveness Committee, Task Force, etc.
Travel Requirements:
Will require travel to all Coastal Bend College campuses as needed. Travel during evening and weekend hours may be necessary as required by the College. Travel to all CBC sites and other off-site locations for meetings as needed.
Physical Requirements:
While performing the duties of this position, the employee is frequently required to sit, reach, and manipulate objects, tools, machinery, or controls. This position requires mobility.
Duties will involve moving materials weighing up to five (5) pounds on a regular basis and up to 50 pounds on an occasional basis. Manual dexterity and coordination are required over 50% of the work period while operating tools, equipment, or machinery such as computer keyboard, mouse, power saws, and drills, painting equipment, forklifts, tractors, utility carts, and similar machinery.
Environment:
Work is performed in both office and field environments throughout College facilities and grounds. The position may be exposed to construction activities, maintenance operations, weather conditions, noise, dust, chemicals, mechanical equipment, and other environmental conditions associated with facility operations.
Frequent interaction with faculty, staff, students, contractors, vendors, and visitors is required. This position may require occasional work outside normal business hours in support of College operations and emergency response activities.
