Position Overview
The Specialist of Student
Employment and Federal Work-Study serves as the primary operational expert responsible for executing student employment and Federal
Work-Study processes. This role manages high-volume hiring and onboarding activities, maintains accurate records, and supports students,
supervisors, and community partners through consistent and reliable service delivery.
Through these responsibilities, the Specialist
contributes to a positive and meaningful employment experience for students and supervisors by ensuring processes are efficient, accessible,
and responsive to stakeholder needs. This is an onsite position.
Responsibilities:
Operational
Execution and Transaction Management
- Process student employment transactions, including requisitions, hiring, onboarding,
and assignment management - Coordinate completion of onboarding requirements, including scheduling and tracking of I-9
verification and new hire documentation - Manage Federal Work-Study operational activities, including routine timecard
processing and monitoring of fund utilization - Maintain accurate records and ensure timely completion of required
documentation
Workflow and Service Delivery
- Serve as the primary point of contact for
students, supervisors, and community partners regarding student employment processes - Provide guidance on established
procedures, timelines, and system workflows - Monitor workflow queues and prioritize tasks to meet operational
deadlines - Support resolution of routine operational issues
Program Support and
Coordination
- Maintain student employment communications, reference materials, and documentation
- Coordinate logistics
for student employment programs, training sessions, and events - Track and report operational data to support program monitoring and
decision-making - Escalate compliance concerns, operational risks, or workload constraints to the Manager in a timely
manner - Use recurring issues, stakeholder feedback, and data trends to identify process improvement opportunities and recommend
enhancements to workflows, communications, or service delivery
Required
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, Higher Education, or a
related field - 2-4 years of experience in student employment, financial aid, human resources, or a related
administrative function - Experience supporting hiring, onboarding, payroll, or financial transactions within enterprise systems
(e.g., Oracle, PeopleSoft, Kuali, or similar platforms) - Knowledge of or experience with Federal Work-Study (FWS) program
requirements or compliance in a higher education setting - Demonstrated ability to interpret and apply policies, procedures, and
regulatory guidance (e.g., FWS or employment eligibility documentation) - Strong attention to detail and ability to manage data,
documentation, and time-sensitive transactions accurately - Ability to manage multiple priorities, meet deadlines, and maintain
productivity in a high-volume, compliance-driven environment - Effective communication and customer service skills, with the
ability to work both independently and collaboratively with diverse stakeholders
Preferred
Qualifications
- Direct experience administering Federal Work-Study or similar funding programs, including tracking and
reporting expenditures - Familiarity with onboarding and I-9 compliance processes and federal employment eligibility
requirements - Experience developing or maintaining communications, training materials, or reference
documentation - Experience coordinating programs, events, or training sessions in a higher education
environment - Experience managing high-volume workflows or transaction processing
