Job Summary
The Undergraduate Program Professional supports the department’s undergraduate
academic program by coordinating daily operations and providing guidance to students, faculty, and staff. This position applies knowledge of
academic administration and university systems to manage program logistics, assist with undergraduate advising processes, and ensure
curriculum and policy requirements are met. The role regularly solves moderately complex program and student issues, determining appropriate
actions within established guidelines and referring unique cases for further review when needed.In addition, this position collaborates with
faculty and departmental staff to organize undergraduate activities and events, support applied learning or research opportunities, and
contribute to efforts that enhance student engagement and retention. The Undergraduate Program Professional may provide direction to student
employees or staff assisting with program tasks, ensuring consistency and accuracy in undergraduate program support.

Who We Are
The
Department of Chemistry at the University of Colorado Boulder emphasizes knowledge of the basic principles of chemistry, including atomic
and molecular theory, the states of matter, and reactivities and properties of chemical substances. Students study the basic subfields of
chemistry, such as organic, physical, analytical, and inorganic chemistry, all while developing the mathematical skills to understand
fundamental chemical relationships and to manipulate experimental data. Graduates also learn safe chemical practices, including handling
waste, safety equipment, assembling chemical apparatus and designing experiments.
What Your Key Responsibilities Will Be
Undergraduate Program Management and Administration
- Plans, prioritizes, and manages the workflow of
the undergraduate program, providing administrative, technical, and programmatic support for the Chair, Associate Chair, and academic
advisors. - Oversees the undergraduate student registration process by monitoring data entry into CU-SIS; researches registration
problems; advises and assists faculty members, instructors, and undergraduate students during each semester’s enrollment and schedule
adjustment period. Registers students for undergraduate internship and independent-study credits. - Serves as departmental final grade
liaison. - Assist in ensuring that the fall, spring and summer course, recitation and laboratory schedules prepared by the Chair are
devoid of errors. - Enter all CHEM courses, recitations, and laboratories into CU-SIS for the fall, spring, and summer semesters,
revise and/or cancel courses, recitations and laboratories as needed using CU-SIS. - Works with course instructors to place textbook
orders and ensures CU Bookstore has the necessary information to provide course materials to students. - Develops and maintains
documented procedures related to undergraduate program operations. - Provides MyCUinfo and Canvas support to part-time lecturers and
undergraduate majors. - Administers undergraduate fellowships and prizes.
- Identifies and secures rooms for all courses and
exams taught in CHEM; - Prepares degree-awarded reports and provides lists of undergraduate graduates for the Recognition
Ceremony.
Operational Support
- Supports administrators, faculty, and staff with preparation of promotion
materials (tenure-track and teaching professor), document and spreadsheet creation, development of office procedures and tracking systems,
and document production. - Collects data as required for the annual American Chemical Society Survey and Periodic
reports. - Manages the department’s document storage system with regard to undergraduate program administration (electronic and paper)
and follows university document retention policies. - Serves as the departmental liaison for undergraduate Disability Services
accommodations. - Coordinates departmental tutor list and distributes in accordance with the department’s procedures.
- Ensures
all undergraduate program operations have the needed administrative support to meet the mission of the department. - Serves as the
Faculty Course Questionnaire (FCQ) Coordinator. - Organizes and plans events related to the undergraduate major and special
opportunities within the department, including poster sessions, Fall Welcome events, the Annual Spring Student Recognition Ceremony, and the
CHEM TA Training event.
Student Mentoring and Support
- Serves as a point of contact and facilitator for
departmental undergraduate students who need procedural assistance (petitions, late drops/adds, Special Action Forms, change of major,
course schedule adjustments, etc.) - Facilitates transfer credit reviews by the Associate Chair for Undergraduate Studies.
- Supports departmental efforts to deliver undergraduate program services that promote student success and align with the
department’s educational mission. - Provides guidance and assistance to faculty, staff and students on undergraduate program
processes, serving as a point of contact for routine program questions. - Provides students with guidance on timelines, applications,
and basic requirements for any available research opportunities.
Process Improvement
- Expands information
about program resources by collecting, interpreting and reporting data to evaluate undergraduate majors, student credit hours, diversity
planning, and funding processes and awards. - Develops and maintains an effective process of reviewing the departmental website with
respect to all undergraduate information and respective fellowship opportunities. - Seeks to improve efficiency and recommend process
modifications and improvements based on analysis of operations. - Uses evaluative skills and works closely with department personnel
to better define objectives and goals.
Other/Projects
- Supports the Chemistry department, including
providing back-up support (with appropriate cross-training) for the Graduate Program Administrator. - Other duties as
assigned.
What You Should Know
- Hybrid Schedule: At least 2+ days a week on campus per
campus and college policies and guidelines. - This can be subject to change based on the business needs of the
department. - Standard Business Hours: 8:00 AM – 5:00 PM | Monday – Friday
- Employee may be
expected to be on campus Monday-Friday during onboarding, training, and/or professional development events/meetings.
What

- The salary for this position is $55,120 – $57,325.

What We Require
- A Bachelor’s degree
or equivalent combination of education and experience may substitute. - Minimum of 1+ years of professional, job-related
experience.

- Demonstrated ability to work independently and assume responsibility for
initiating and completing critical functions in the management of educational programs. - Proficient in computer knowledge and skills
with Adobe Acrobat, Google Drive, OneDrive, and MS Office applications. - Ability to communicate effectively both orally and in
writing, with a variety of professionals, administrators, and students. - Demonstrated ability to work effectively in a team and
within other collaborative work situations. - Demonstrated ability to learn and perfect new systems and skills (WebExpress, Virtual
Meetings/Presentation, and MeetingOwl).
