Position Title: Director of Student Accounts

Reports to: Vice President for Finance and
Administration


Supervises: Student Accounts Assistant, Cashier & Student Accounts

Primary
function: 
The Director of Student Accounts will report to the Vice President for Finance and Administration and is responsible
for the overall operation of the Student Accounts function. This position is to provide leadership and subject matter expertise for the
student accounts area including billing, collections, student and parent loans, financial reporting and information technology. The Director
of Student Accounts will have a comprehensive knowledge of student billing and collection principles, processes, Title IV regulations and
best practices to ensure the accurate and timely processing of student charges, payments, and refunds.



Required
Qualifications: 
Excellent oral and written communication skills, superior interpersonal skills. Ability to exercise tact and
discretion when handling confidential information and situations. Proficiency in Excel and Word. Knowledge of Colleague and/or higher
education experience a plus.

Education: A Bachelor’s degree in Accounting, Business Administration, Finance or
related field.


Experience: Three to Five years’ experience required in billing and collection of accounts
receivable

Essential duties:


  1. Counsels and negotiates with families experiencing financial hardships
    and/or problems. Use tact, empathy, and good judgement to accommodate the family’s needs and, at the same time, protect the College’s
    financial position.
  2. With Vice President and President’s approval and guidance, negotiates and counsels’ families regarding special
    payments. Extensive contact with student/parents, community customers. Speak to groups of student/parents regarding payments and
    options.
  3. Assist in updating the student information system (Colleague) each term to assure accurate student billing and collection
    of receivables.
  4. Provides input on policy and procedure recommendations conducive with the good of the student and College. Adhere
    to policy changes being consistent in all decisions affecting student.
  5. Meet with department administrators to coordinate billing
    including but not limited to Admissions, Financial Aid, Registrar.
  6. Compute and send timely and accurate bills. Process sanctions
    for unpaid accounts. Assist in supervising and managing collection and delinquent procedures.
  7. Administer and monitor the College’s
    payment plans each semester.
  8. Assist in the extraction of and data load for student 1098T based on IRS regulations, working with
    Heartland/ECSI for distribution. Initiate and maintain safeguards.
  9. Assist audit teams in evaluating accounting records/practices
    to assure data integrity, policy adherence.
  10. Manage the student module as it pertains to billing. Assist in creating new processes
    to conform to the ever-changing programs offered and diversity in fees charged. Assist in creating processes to ensure accurate data that
    can be easily extracted in reporting for Institutional Research, Department of Ed and other various reporting.
  11. Responsible for
    maintaining the accuracy of student account records through the account adjustments and receipting of payments through the College’s Billing
    and Receivable system.
  12. Work with the College’s cashiering function and maintain the proper internal controls to ensure the
    integrity of the receipt and refunding activities.
  13. Monitor and respond to Student Account emails.
  14. Evaluate the accuracy
    of student account balances and post adjusting entries on as-needed basis.
  15. Adjust housing and dining plans per direction from the
    department director.
  16. Applies charges to student accounts as provided by other departments
