Job Summary
The Human Resources Specialist plays a critical role in coordinating all aspects of the onboarding process, ensuring a seamless and positive experience. Acts as a central point of contact for various HR processes and activities relating to PeopleSoft HCM eForm system. The HR Specialist is responsible for maintaining compliance with applicable state and federal laws, regulations, and University policies, ensuring that HR practices align with legal standards and organizational goals. Additionally, the role involves collaboration with internal stakeholders to uphold best practices and support a culture of excellence, accountability and continuous improvement across the University.



Major Responsibilities/Duties/Critical Tasks

  • Responsible for the end-to-end management of HR transactions in the PeopleSoft Human Capital Management (HCM) eForm system, including appointments, person of interest, position creation/modification, and separations.
  • Ensure all transactions are initiated, tracked, and completed accurately and within established timelines.
  • Coordinates onboarding processes for part-time employees and non-employee assignments, including conducting criminal background checks, verifying work authorization documents (I-9), when necessary.
  • Guides employees and non-employees through the onboarding process, addressing questions and ensuring all necessary documentation is submitted.
  • Reviews and verifies all HR-related paperwork and documentation to ensure compliance with university policies and governmental regulations. Monitors outstanding documentation and assists in resolving discrepancies in a timely manner.
  • Maintains and organizes confidential payroll and personnel-related documents as part of employee or non-employee files, ensuring proper security and accessibility.
  • Performs research and analysis to detect and resolve discrepancies in HCM data. Conduct regular audits of employee records, working with Payroll and other stakeholders to address and correct errors. Runs, reviews, and validates reports to ensure data integrity and resolves any discrepancies before payroll processing.
  • Provides support for HCM system upgrades, enhancements, testing, validation and overall performance.
  • Analyze software updates to evaluate the impact of new features and assist in designing, configuring, testing, and implementing system changes.
  • Collaborate with stakeholders to ensure the successful adoption of new processes and initiatives.
  • Performs other related duties as assigned.

Required Education/Experience


  • Two (2) years’ customer service-related experience.
  • May accept a combination of education and experience.

  • Highly proficient personal computer skills and general Human Resource software (PeopleSoft and MS Office Suite.)
  • A self-starter, who will take the initiative to effect positive change.

  • Efficient use of time to prioritize workload and receive little instruction on routine work and general instruction for new assignments.
  • Excellent organizational and multi-tasking skills with solid attention to detail.

  • Work collaboratively and cooperatively with university personnel at all levels.
  • Respond flexibly and positively in all circumstances, working calmly under pressure.

  • Knowledge of relevant Federal, State and Local labor laws impacting areas of responsibility.
  • Detail-oriented with the ability to manage multiple responsibilities effectively.
  • Interact professionally with vendors, faculty, staff, employees and university leadership.
  • Demonstrated flexibility and initiative in a dynamic work environment.

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.

This position is security-sensitive and subject to Texas Education Code Section 51.215, which authorizes the employer to obtain criminal history record information. Applicants selected must be able to show proof of eligibility to work in the United States by time of hire.
