Position Summary:


The Systems Administrator is responsible for the daily management, maintenance, and strategic enhancement of key
institutional systems, including the Customer Relationship Management (CRM) platform (transitioning from HubSpot to Element451), the Student
Information System (SIS) (currently Jenzabar’s SONIS), the Enterprise Resource Planning (ERP) system (currently NetSuite), and Global
Financial Aid Services. This position ensures the effective, secure, and efficient operation of systems to support crucial functions across
the College.

The Administrator’s primary responsibility is systems administration, with a focus on infrastructure, configuration,
utility, integration, and system compatibility. The role emphasizes systems thinking, data hygiene, problem-solving, and cross-departmental
collaboration to ensure clean, reliable data and well-functioning platforms that directly support institutional operations, compliance
needs, and help meet strategic goals.

Salary Range: $65,000-$75,000

Working
Conditions:


  • This is a full-time (37.5 hours per week) position.

  • Both hybrid (Wednesdays and Thursdays on
    campus in Boston) and fully remote employment models will be considered for this role. This employment model is subject to periodic review
    by the President.

  • Occasional evening or weekend hours may be required to support system maintenance or critical updates.

Key Responsibilities:


  • System Administration & Maintenance

  • Serve as the primary administrator for the CRM, SIS, ERP, and financial aid platforms, as well as connected systems.

  • Oversee system configuration, user roles and permissions, workflows, and integration points.

  • Document system
    configurations, customizations, and workflows to ensure continuity and knowledge transfer.

  • Maintain system
    infrastructure, updates, and vendor coordination for upgrades and patches.

  • Monitor performance, troubleshoot issues, and
    ensure system reliability and uptime.

  • Maintain effective working relationships with vendors and ensure vendors deliver
    support and products in alignment with established timelines and agreed-upon scopes of work.

  • Data Management &
    Reporting

  • Ensure accuracy, consistency, and hygiene of data across platforms.

  • Establish and enforce
    data
    standards, validation rules, and quality checks.

  • Design, create, and maintain reports and dashboards to support
    enrollment, retention, and student success initiatives.

  • Support imports, exports, and integrations between institutional
    and third-party systems.

  • Provide a clean data foundation to support compliance reporting (e.g., IPEDS, NECHE, NSCHE,
    FVT/GE, NC-SARA, etc.).

  • User Support & Training

  • Provide technical support and training for end
    users.

  • Develop a knowledge base of user documentation, training materials, and best practice guides.

  • Serve as
    the liaison between end users and vendor support for escalated issues.

  • Serve as a resource to
    troubleshoot and resolve
    system-related problems in a timely manner.

  • Process Improvement & Strategic Support

  • Collaborate with
    functional departments to analyze business processes and identify opportunities for system enhancements
    and workflow automation and
    efficiency.

  • Collaborate with functional departments to ensure systems meet the needs of the
    new and growing workforce
    development area, including system configuration, student/participant management, course set-up and scheduling,
    and billing processes.

  • Participate in strategic planning discussions to leverage CRM, SIS, and other system capabilities
    in support of
    institutional goals.

  • Ensure system design and workflows align with institutional policies and procedures.

  • Recommend and implement improvements to ensure systems are aligned with institutional needs, operational, and compliance
    requirements.

  • Compliance & Security

  • Ensure systems comply with applicable data privacy and
    security
    regulations (e.g., FERPA, GDPR).

  • Maintain role-based access controls in alignment with FERPA and institutional
    policies.

  • Establish and maintain protocols for data security, backup, and disaster recovery.


Qualifications:

  • Bachelor’s degree in information systems, computer science, business administration, or a related
    field; equivalent
    experience may be considered.

  • Minimum of 3 years of experience administering enterprise-level CRM, SIS,
    or ERP platforms;
    experience with Element451, SONIS, and/or NetSuite preferred.

  • Demonstrated expertise in system
    administration,
    configuration, integrations, and data integrity management.

  • Familiarity with SQL and reporting platforms
    such as Excel,
    Izenda, and Power BI to support data validation and troubleshooting (advanced reporting responsibilities handled by
    Institutional Research).

  • Strong problem-solving skills and ability to analyze complex workflows and translate them into
    system configurations.

  • Excellent interpersonal and communication skills; ability to collaborate with both technical and
    non-technical
    stakeholders.

  • Experience writing technical documentation and creating user guides for non-technical
    audiences is
    preferred.

  • Experience participating in system migrations, vendor conversations, or platform selection
    processes is
    preferred.

  • Experience in higher education preferred, especially in environments where staff bridge multiple
    functional
    areas.

Skills & Competencies:


  • Proficiency in SQL, reporting platforms, and data
    visualization tools is a
    plus.

  • Strong attention to detail and commitment to data accuracy and integrity and system
    reliability.

  • Ability to manage multiple priorities and projects in a dynamic environment.

  • Ability to
    translate business
    processes into effective system configurations and workflows.

  • Awareness of digital accessibility
    standards (e.g., WCAG,
    Section 508) and ability to apply them in system configurations, training, and user-facing tools.

  • Strong written
    communication skills, with the ability to create clear documentation and training resources for diverse users.

  • Knowledge
    of FERPA, student data privacy laws, and best practices in system security.

  • Flexibility and
    initiative to learn new tools
    and adapt to evolving system needs.
