Job Summary:

Reporting to the Assistant Director of Student Accounts, this position will provide excellent customer service to students and parents; communicate information to assist students and families in understanding their financial relationship to the University. The position will assist in the continued improvement of the University’s customer service standards by reviewing, updating and maintaining the office procedures while assisting students and families with understanding their financial obligations to the university.



Primary Responsibilities:

  • Front line customer service for account inquiries and processing payments for AR and non-AR balances.
  • Provide excellent customer service while analyzing account balances in response to inquiries via email, telephone, zoom (upon request) and in person to students and authorized agents.
  • Ability to listen to customer needs, address concerns and offer solutions in a calm and courteous manner.
  • Work with financial aid on miscellaneous scholarships and loans.
  • Preparation of refunds for review and approval prior to processing in a timely manner.
  • Review and monitor student payment plans for completeness and accuracy.
  • Perform diligent follow-up on missing and/or late payments and/or returned payments.
  • Processing dual enrollment payments.
  • Processing matriculation payments for grad and undergraduate students.
  • Process RAM dollars form submissions.
  • Petty cash distribution and monthly reconciliation.
  • Monthly shredding of checks and ensure prompt communication on bank runs.
  • Work additional hours (evening and weekends) during peak processing periods to meet critical deadlines. Assist with University events as needed which might include occasional evening and weekend commitments.

Secondary Responsibilities:


  • Assist with monitoring online payment plan balances duties as assigned

Required Knowledge, Skills, Abilities:

  • Excellent oral and written communication skills
  • Ability to work in an open office
  • Working knowledge of MS Word, Excel and PowerPoint
  • Experience with Ellucian Colleague and/or TouchNet a plus
  • Strong organizational skills and meticulous attention to details

Required Education and Experience:


  • Associates Degree in accounting or related field; Bachelor’s Degree preferred
  • Minimum of 1 year of customer service experience for this position
