This position supports core academic and operational functions for the College of Business Administration, including daily management of the Undergraduate Programs and Student Engagement (UPSE) office, degree audits, graduation processing, curriculum updates, and transfer and admissions verification. It maintains advising structures, manages student records and course exceptions, and ensures accuracy of undergraduate and graduate course schedules. The role collaborates with faculty, staff, and the Registrar’s Office to resolve academic and enrollment issues, provides data reporting, supports student engagement initiatives, and represents the college at events while contributing to special projects for the Dean’s Office.



Position Specific Responsibilities/Accountabilities

  • Manage daily operations of the Undergraduate Programs and Student Engagement (UPSE) office, including oversight of front desk services, office logistics, and shared spaces.


  • Ensure consistent front desk coverage by responding to emails from the centralized account, answering calls, directing inquiries, and assisting students by providing information and referrals related to advising, academic, and student support resources.

  • Oversee office administration, including opening/closing procedures, coordinating meetings and events (including catering), and managing incoming mail, packages, and deliveries.


  • Maintain office readiness by monitoring and ordering supplies, tracking expenditures, supporting budget management, and ensuring common areas are clean, stocked, and organized.

  • Review graduation applications and confirm student eligibility for degree completion. When requirements remain outstanding, provide clear guidance to help students plan to complete coursework.



  • Process course substitutions and degree audit adjustments in accordance with CBA policies.

  • Track all transfer equivalencies for CBA and coordinate the Transfer Course Review (TCR) process for all CBA students, domestic and study abroad.


  • Verify that external transfer applicants meet CBA admission standards, including successful completion of Calculus (with a grade of B or higher).

  • Assign academic advisees to advisors each term and maintain accurate advising rosters for all faculty and staff advisors.


  • Align discontinued or outdated programs with current curriculum requirements for returning students.

  • Authorize course overrides as requested by faculty, particularly: Consent of Instructor, Special Approvals, Student Investment Fund, and Entrepreneurship.


  • Track prerequisite compliance and coordinate with the Registrar’s Office to drop ineligible students and communicate updates directly with affected students.

  • Approve Change of Major petitions for students internally transferring or transitioning within the CBA.


  • Utilize university-approved databases to generate and analyze statistical reports for the College of Business Administration, including (but not limited to): majors, minors, cohorts, degree applicants, and advisor assignments.

  • Serve as the primary contact for internal transfer inquiries, advising prospective CBA students on requirements and recommendations for transfer timeline into CBA.


  • Advise Business Administration minor students, and oversee the application process as well as manage acceptances into the minor.

  • Compile annual bulletin revisions in partnership with the Assistant and/or Associate Dean(s) as well as verifying updates and submit approved changes to the Registrar’s Office


  • Review and validate the CBA’s semester course schedule for undergraduate and graduate programs to ensure accuracy and completeness within University scheduling systems.

  • Collaborate with faculty to resolve questions regarding student records, academic holds, degree audit exceptions, and other related advising issues.


  • In collaboration with the Assistant Dean of Undergraduate Student Success and the Student Engagement Advisor, assist with coordinating and maintaining the Suitable platform on behalf of the College. Enter events, process approvals for student-submitted activities, execute and clean data sets from the platform, and generate workflows for CBA Advantage.

  • Represent the Undergraduate Programs & Student Engagement Office at various LMU events.


  • Execute special projects as assigned by the Assistant and/or Associate Dean(s).

Requisite Qualifications


  • Typically a Bachelor’s degree or equivalent experience. A master’s degree in business or counseling is preferred. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.

  • Minimum three years of experience in an academic program office or customers in a service-oriented role involving complex processes. Familiarity with the Office of the Registrar functions or related area desirable but not required.



  • Demonstrated knowledge in the areas of: recruiting, marketing, social media, higher education curriculum, course sequences and requirements, course offerings, admissions requirements, graduation requirements, university resources and facilities. Familiarity with academic processes and procedures, Registrar office, and Financial Aid office.

  • Ability to multi-task, plan, organize and execute day-to-day operation; work under deadlines and maintain a detail-oriented approach to each task; ability to prioritize and delegate the flow of work on a daily basis; ability to write and edit, prepare memos and minutes, type reports and other documents efficiently.


  • Highly developed organizational and customer service skills.

  • Demonstrated computer proficiency in Microsoft Office (Excel, Word, PowerPoint and Access) and other campus databases.


  • Maintain highly effective working relationships with key faculty, academic personnel.

Salary range



$25.87 – $32.31 Salary commensurate with education and experience.
