Office Manager – Administration and Finance


General Statement of Duties:

Serves as both a confidential assistant to the office of Administration and Finance and senior administrative generalist for the Finance Office team. Handles sensitive matters related to college, state governance, and community relations. Responsible for providing critical functional support to the Finance team leadership while serving as a strategic thought partner. Facilitates, promotes, and fosters an effective, efficient, and professional atmosphere, grounded in excellent customer service.



Responsibilities:

  • Serves as a confidential assistant to the Division of Administration and Finance while maintaining an efficient, business-friendly environment, with multiple priorities and demands of a fast-paced, people-oriented office.
  • May participate in arranging/managing travel for Senior level staff. Manages meetings, events, and prepares related materials necessary to meet scheduled activities of senior level staff. As directed, takes meeting minutes.
  • Performs confidential tasks related to collection of information and data as needed for reports, correspondence, etc., for senior level staff. When appropriate communicates to campus stakeholder and/or outside agencies as appropriate. Uses appropriate initiative, judgment subject-matter knowledge to complete tasks.
  • Gathers information from college offices, other state agencies, and other public and private organizations regarding matters relating to the activities of the Division of Finance and Administration.
  • Compiles data and reports to assist the senior level staff, and other senior staff in preparation for meetings and other related activities.
  • Performs research, prepares information, and responds to inquiries from the college community, as well as external constituents, regarding interpretation of policies and procedures.
  • Acts as a liaison between the division of finance and administration, the college community, and outside agencies.
  • Prepares correspondence such as letters, memoranda, contracts, spreadsheets, and reports using Microsoft Office Suite applications.
  • Serves in backup capacity to various office functions of the finance office. Provides administrative support related to the oversight and operation of the campus bookstore and merchandise store. Helps perform key administrative functions in support of the Budget and Administration team, such as approvals budget/procurement, personnel actions/funding moves, and other related tasks.
  • Demonstrates sensitivity to students, faculty, and staff of varying racial, ethnic, religious, gender, cultural, disability, sexual orientation, and socioeconomic background while serving as a liaison in matters related to the division of finance and administration.
  • Performs other duties as assigned with or without reasonable accommodation.

Job Requirements:


Minimum Qualifications:

  • Associate’s degree and seven years of experience in a confidential/executive office setting or a bachelor’s degree and five years of experience in a confidential/executive office setting.
  • Experience working collaboratively with diverse populations while providing excellent customer service.

Required Knowledge, Skills, and Abilities:


  • Working proficiency with Microsoft Office Applications.
  • Strong organizational and problem-solving skills.
  • Ability to work with minimal supervision.
  • Excellent oral and written communications skills required.
  • Ability to articulate college policies and procedures as they relate to the area while understanding the values of the College and work practices and procedures related to the same.
  • Ability to manage confidential tasks and to use independent discretion in handling information.
  • Ability to work with all levels of college staff, outside agencies, and the general public, and establish and maintain harmonious relationships.
  • Ability to type with speed and accuracy, with attention to detail.
  • Able to represent the college in a professional manner.
  • Willingness to assume additional assignments as directed by supervisor.
  • Ability to work independently on a variety of tasks simultaneously with or without reasonable accommodation.

Desired Qualifications:

  • More than 10 years of experience in a confidential/executive office setting.
  • Work experience in a higher education environment.
  • Knowledge of Banner suite or equivalent ledger/finance software.
  • Bachelor’s degree.

Additional Information:



Salary: $72,500.00 – $77,500.00
