Position Summary:


The Administrative Office Assistant II serves as the operational foundation of the CLASS Hub, providing the administrative support that makes the Hubs career-related and professional development programming possible. The staff member maintains a welcoming front-desk environment for students, faculty, alumni, employers, and speakers; coordinates Hub student employees; and manages logistics for employer, alumni, and speaker visits. This position also maintains internship and affiliation agreement records and liaises with campus partners to promote student success and engagement, ensuring students receive the support they need to pursue their educational, career, and life goals.

Required Qualifications:


High school diploma or GED.
Three years of qualifying experience or a combination of education and experience that equates to three years.
Experience with Microsoft Word.
Customer service experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.

Preferred Qualifications:



Experience with event coordination and front-desk reception in a higher education setting.
Experience maintaining internship tracking and affiliation agreements.
Proficiency with Microsoft Excel; familiarity with Access, SAP, Slate, Adobe, and Perceptive Content.
Familiarity with student success or CRM platforms.
Ability to design and maintain web pages and update digital signage.
Ability to design event promotional materials (e.g., flyers, announcements) for both print and digital delivery.
Understanding of the career value and transferable skills developed through liberal arts and social science disciplines.

Duties & Responsibilities:


Front Desk and Student Employee Coordination:
Maintains a welcoming environment at the CLASS Hub front desk for students, faculty, alumni, employers, speakers, and other visitors; greet, triage, and provide wayfinding.
Maintains hallway, lobby, and Hub signage (including digital displays) to welcome and announce visitors, events, and weekly programming.
Supports consistent open hours and a welcoming atmosphere that signals all students belong at CMU.
Coordinates Hub student employees: assist with hiring, schedule coverage, assign tasks, provide day-of guidance, and process time entry approvals.
Coordinates student workers for admissions events such as College Connections and Transfer Visit Days, supporting the recruitment goals outlined in the Strategic Enrollment Management Plan.

Event Coordination and Employer, Alumni, and Speaker Visits:
Plan and execute employer, alumni, and speaker visits at the Hub: schedule rooms; coordinate hospitality, AV, parking, and escorting; manage invitations and confirmations; capture attendance and outcomes for reporting; send acknowledgments.
Supports the Employer Spotlight and Alumni Spotlight series directed by the Hub Director.
Coordinates Hub events with departments and programs across CLASS; manage reservations, catering, purchasing card documentation, and day-of logistics; support special projects.
Coordinates and assist with college-wide events as requested by the Deans Office, including representation at university events such as Main Stage, CMU and You Day, and Orientation.



Internship Records and Campus Liaison:
Maintains lists of internship opportunities and affiliation agreements; obtain and update agreements with departments and partner sites.
Tracks CLASS internships for reporting purposes; collect and organize related data to support the Strategic Plan goal of providing every undergraduate with an immersive experience.
Serves as liaison to the CBA Hub and Career Services to align programming, employer outreach, internship postings, and shared resources.
Supports the Hub Director in cultivating reciprocal partnerships with university and community stakeholders.
Schedules, Communicates, and General Administrative Support.
Maintains the Hub schedule to ensure regular weekly activities, including evening offerings; publish a weekly schedule and status update to stakeholders.
Supports Hub messaging and communications as directed.
Provides general administrative support to the Deans Office as assigned.
Acts as backup support to the Department of Psychology when needed.
Perform other duties as assigned.
