SUMMARY
JOB DESCRIPTION

This is a part-time, administrative position responsible for coordinating and overseeing administrative support operations within the department. Responsible for assisting with budget planning, forecasting, and monitoring; and planning, organizing, and performing a wide variety of administrative activities. May supervise assigned staff, including student workers. Works under general supervision, with moderate latitude for the use of initiative and independent judgment. Reports to the department head.



QUALIFICATIONS
High school diploma or equivalent is required. Bachelor’s degree is preferred.

Five years of related experience is required. Experience in general office practices and procedures is required. Experience handling confidential information is required. Experience in higher education is preferred. Candidates who do not meet the experience requirement but have a Bachelor’s degree in a related field may also be considered on a basis set forth by the Department of Human Resources.



ESSENTIAL JOB FUNCTIONS

  1. Assists with budget review and development, posts and reconciles accounts, prepares financial reports and cost analyses, verifies the accuracy of data and entries, and monitors expenditures to maintain a sound financial status for the department.
  2. Initiates and processes requisitions for purchases; maintains requisitions for purchasing inventory of equipment and supplies.
  3. Handles routine and confidential correspondence.
  4. Maintains and reviews department personnel files.
  5. Maintains and updates departmental policies and procedures.
  6. Organizes and maintains a daily schedule of appointments.
  7. Schedules, coordinates, and assists with meetings, luncheons, conferences, and other events.
  8. Plans, organizes, coordinates, and evaluates the administrative operations of the department to ensure compliance with applicable federal, state, and local laws, rules, and regulations and university policies and procedures.
  9. Compiles statistical data and prepares various studies of departmental activities.
  10. Interprets department and university policies and procedures for students, faculty, staff, and the general public.
  11. Coordinates records maintenance and retention for departmental administrative operations.
  12. Prepares and analyzes various special, quarterly, monthly, and ad hoc reports.
  13. Liaises with university departments and state agencies concerning administrative and financial operations related to departmental activities.
  14. Coordinates office travel and provides oversight of departmental travel.

NON-ESSENTIAL JOB FUNCTIONS


  1. May receive and/or supervise the receipt of payments from students and others for departmentally sponsored activities.
  2. May supervise departmental administrative support staff.
  3. May serve on department or campus-wide committees.
  4. Assists with special projects, as assigned.
  5. Performs other related duties as assigned.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
The individual must possess the following knowledge, skills, and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation.

  1. Knowledge of, or the ability to learn, university policies and procedures.
  2. Knowledge of administrative and clerical procedures and systems such as word processing, files and records management, forms creation and design, and other office procedures and terminology.
  3. Skill in typing with minimal errors.
  4. Ability to learn office and university-specific software.
  5. Ability to communicate effectively in both oral and written form.
  6. Ability to understand and interpret policies and procedures accurately.
  7. Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.
  8. Ability to work successfully as a member of a team.
  9. Ability to set priorities and complete assignments on time with high attention to detail.
  10. Ability to identify problems, evaluate alternatives, and implement effective solutions.
  11. Ability to work with and maintain confidential information.
  12. Ability to accurately prepare and maintain records, files, minutes, and reports.
