Reporting to the Manager of Administrative Operations & Organizational Development, the Coordinator for Administrative Operations is
a
key operational support for Stamp. The position is embedded in the Administrative Operations team, which comprises various functions
including, but not limited to, HR, payroll, strategic planning, training/development, and business/finance staff, and works on projects and
initiatives related to these functional areas. This position works independently, under general guidance. It is not closely supervised and
must be able to make decisions and use independent judgment.
The core duties of this role include:
- Conducting
full
oversight
of the payroll, timekeeping, and onboarding logistics for all staff and new hires in Stamp (approximately 100 full-time and
30
graduate
student staff and 400 undergraduate student staff) using Workday. - Acting as the primary contact for onboarding
affiliates and
managing their status with Stamp vendors to resolve staffing or building-related issues. - Serving as the primary HR
Rep for Stamp
for meetings with UHR and advising the Assistant and Associate Directors on operational needs based on staffing issues and
pending HR
changes. - Troubleshooting Workday issues and accommodation needs for Stamp staff as they arise.
- Overseeing
parking
logistics (codes, assignments, department reps, etc.) for Stamp and Stamp Administrative Offices. - Serving on departmental
committees as related to an HR function or as requested. - Act as a conduit of information/communication between Stamp and other
campus units, such as the Office of the Vice President, departments of the Division of Student Affairs, and the Department of Transportation
Services (DOTS); as well as update all internal and external websites and dashboards regularly. - Supporting general administrative
operations of Stamp. - Provide administrative support to searches within Stamp, including communication, scheduling, job fair, and
travel support. - Hire, train, and supervise front desk Human Resource Assistant student employees and their work in the STAMP
administrative offices - Other duties as assigned.
Preferred Qualifications: Strong attention to detail; ability
to
connect systems and processes to understand the bigger picture; ability to work independently; Workday and/or HR experience; ability to
learn and adapt to new technologies and systems.
Physical demands: Work takes place in both an office environment and in on-campus
buildings; will require the ability to travel throughout campus. There may be occasions when the incumbent will need to work outside their
normal shift to accommodate other shifts in the organization for meetings, training, etc.
Minimum
Qualifications
Education: Bachelor’s degree from an accredited college or university.
Experience: One
(1) year
of professional secretarial,
clerical, coordinator, or administrative experience.
Other: Additional work experience as
defined above
may be substituted on a year
for year basis for up to four (4) years of the required education.
KNOWLEDGE, SKILLS, &
ABILITIES:
- Knowledge of clerical and
administrative procedures and systems such as filing and record-keeping. - Skill
in oral and
written communication. - Skill in the use of
Microsoft Office products. - Ability to multitask and prioritize
assignments.
