Rate/Range: The budgeted salary range that the University reasonably expects to pay for this position is $88,000 to
$106,000/year. Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the
application of fair, equitable, and consistent pay practices at the University. The full salary range for this position is $88,000 to
$161,600/year.

Department Marketing Statement:
The Office of Admissions is charged with assisting the
campus in reaching its undergraduate admission and enrollment objectives in accordance with the University mission and campus enrollment
goals. Department efforts are focused upon increasing the academic quality and diversity of the entering class while maintaining the
required enrollment level. Admissions seeks to implement the campus admission goals by providing a number of services and events. Admissions
promotes postsecondary education; encourages applications from historically underserved populations and schools; provides admission
information to high school and community college counselors, teachers and administrators; provides admission advice to prospective freshman
and transfer students; reviews and evaluates applications; develops recruitment strategies and events for admitted students; reviews
coursework for transfer credit; and creates a presence on campus that is consistent with UCSB’s mission and high academic standards. These
services are provided by three units within the department: Visitor Center, Outreach Services, and Application Services.

Brief Summary of Job Duties:
Under the direction of Associate Director for
Business Operations and Compliance, this position will serve as a member of the Admissions technology team providing technological support
for the Customer Relationship Management system (Slate Technolutions). With the goal of improving Admissions operational efficiencies, this
position assists with daily operations of the Slate Admissions CRM, including system maintenance, integration with other Admissions and
campus systems, and the development of new features that enhance prospective student engagement with the Office of Admissions. The CRM
Manager will analyze data and produce reports that assist managers in analyzing marketing campaigns and programs. As a crucial member of the
team, the incumbent will develop strategies that optimize communications with prospective students and where possible, automate processes
allowing for more efficient workflows. In conjunction with the management team, responsible for all the technical aspects of deploying the
strategic communication plan. Develops business processes that create departmental efficiencies and solutions for communicating with
students, counselors, and for managing events and programs that are part of the greater departmental outreach initiatives. Working within
the Division of Student Affairs Information Technologies (SIST) technology architecture, provides database management that supports the
Office of Admissions in day-to-day operations as well as long term enrollment goals. Because the Slate Technolutions system contains
confidential data pertaining to several hundred thousand prospective students, applicants, counselors and school contacts, data security and
precision is critical to ensure identification of, correspondence with, and tracking of constituents. As such, this position will
collaborate with the Admissions technology team to ensure the highest level of data integrity and security, minimizing risk to the
University. Responsible for analyzing user needs, providing relevant training, and creating/maintaining documentation of procedures.
Required Qualifications:
- Required Bachelor’s Degree; Preferably in technology related major
- Two years of experience working with Client Relationship Management (CRM) software, ideally Slate Technolutions (or demonstrated
ability to learn complex CRM systems).
Preferred Qualifications:
- Demonstrated understanding of
Enrollment Management Systems. - Working knowledge of office software, electronic messaging and internet applications (Microsoft
Access, Excel, Google Suite, etc.). - Effective presentation skills for user training.
- Demonstrates enthusiasm and creative
thinking when confronted with technological challenges and new projects. - Professional demeanor: ability to work independently and
collaboratively. - Excellent time management skills and the ability to multitask, set priorities, and follow up in a timely
manner.

Job Functions and
Percentages of Time:
- 75% CRM Data & Database Management – Creates and manages departmental events &
projects that include the integration of the CRM including testing and implementation. Manages and maintains web-based CRM (Slate
Technolutions), storing multi-year records for student inquiries, prospects, applicant, and counselor records. Working with the Admissions
management team, design system to support recruitment and yield plans that positively impact the short and long-term enrollment goals for UC
Santa Barbara. Uses database analytics to track student prospect behavior and UCSB engagement. Develops and implements strategic plans that
collaborate with and leverage existing recruitment and yield programs for management review and direction. Works with UCSB’s Office of
Public Affairs to ensure CRM branding is integrated into external recruitment. Assists with the creative development, production, and
distribution of admission campaign materials as they relate to the CRM communication plans. Collaborates with the Communication Manager,
Associate Directors and Visitor Center manager to develop all required marketing support materials, including emails, university direct
mailing lists, texts and event communications sent through the CRM. Provides regular communication to the management team regarding the
status of CRM modules, upgrades and potential issues. Provides oversight and ensures compliance with established processes, which include
functional and technical review, stakeholder participation and approvals. Maintains relationships with the system’s vendor, IT support,
Admission staff and external departments to communicate and support all stages of implementations and system maintenance. Where existing or
potential operational performance gaps exist, work with UCSB Enterprise Technology Services, Slate Support, Admission’s management across
UCSB to improve the quality and efficiency of the database. Take the lead on recommending solutions to the management and project
stakeholders. Evaluates and determines the need for additional processes or integration modification of existing systems to facilitate
business or system goals. Trouble-shoots bugs, deploys new features, and documents & analyzes user business processes and requirements.
Interfaces with UC Office of the President on the technical aspects of programs for legislative and UC systemwide reports. Compiles prospect
data and reports for analysis from a variety of internal and external sources. Collaborate with Recruitment, Processing, and Evaluation
teams to assess system functionality, and continuously develop and implement workflow improvements. Assist in the development, management,
and deployment of workflow rules, custom tools, and system design. Collaborate with the Assistant Director for Communication to develop
email templates and convert messaging to HTML format for email campaigns. Coordinate annual communication work-flow, calendar scheduled
delivery of emails, and monitor analytics of marketing campaigns. In collaboration with the Admissions technology team, maintain, enhance
and expand integrations with other campus systems and third-party vendors to support UCSB’s enrollment goals. Responsible for data FTP,
imports/exports and data exchanges containing prospective student and applicant data. Ensure accuracy and consistency of data integrity
across systems. Design audit queries to validate data integrity. Developing and conducting quality assurance checks to find and correct data
entry and processing errors. Oversee the merging of duplicate records. Maintain import templates for data from third-party/vendor sources.
Process all ad hoc imports of inquiry data, college fair participation rosters, and test scores into Slate to include source identification.
In collaboration with the Admission’s technical team, create and update fields, prompts, and tabs within Slate to insure accuracy of data
mapping with other Admissions systems. Assist with system upgrades and testing in preparation for moving systems into full production. Write
and maintain documentation for Slate work-flow procedures. Stay current with new system functions and best practices across Slate campuses
nationally with the goal of enhancing UCSB’s utilization of Slate’s functionality. Create reports and dashboards that identify and improve
recruitment strategies and enhance the admission selection process. Create operating procedures and documentation as needed for office
operations and audits related to application processing and applicant selection. Collect feedback from users and set priorities for system
enhancements. Troubleshoot end user issues as they arise Provide senior managers with accurate and timely reports to facilitate informed
decision-making. Routinely handle confidential data and abide by all university policies pertaining to student data. Attend relevant
professional development conferences. - 10% Program Support – Provide support, analytics, reports to Admission
personnel in support of unit functions including Transfer Services, High School Services, Diversity Initiatives, and the Evaluation unit
Build reporting/tracking within Slate to monitor progress towards transfer for community college students participating in grant-funded
initiatives and events coordinated by UCSB Transfer Services. Collaborates with the Assistant Director, Transfer Services to ensure relevant
report data is uploaded to UC Office of the President. Builds complex queries to Identify student contacts for inclusion in office Open
House events, yield receptions, and other sponsored special events and conferences. Develop and support Slate tools used by recruitment,
evaluation, and operations staff related to user dashboards, event management, intake form, applicant reports, texting and email
communications, travel reporting, and any other routine tasks. Tracks admission visits and contacts to high schools, community colleges and
community-based organizations. Uses data analytics to analyze effectiveness and ROI of special programs such as Chancellor’s Receptions,
Open House, Campus Tours, etc. Builds queries and reports to allow Admission Counselors to communicate with participants, counseling and
follow-up advising services, and travel planning. - 10% Staff Training and Support – Trains and informs staff in the
use of the Division of Student Affairs computing network. Trains staff in the use of the Slate CRM system. Develops written documentation,
manuals, “tip sheets,” and other references to which staff can refer for additional training and assistance. Assists users with technical
problems. Provide ongoing user support including troubleshooting of system issues. - 5% General Computing
Administration – Provide technical support for on-campus and off-campus activities, attend regular staff meetings to provide system
updates, and provide technical support of campus recruitment and yield efforts. Develops and maintains professionally relevant skills
through available training programs and researching industry best-practices. Where appropriate, attend and present best practices at
relevant conferences. Serves as the departmental lead in the development, coordination and implementation of policies, procedures and
training as they relate to the CRM system. Identifies administrative and operational issues needing action and improvement via CRM
tool
