General Description
This position manages PLU’s general cashiering, department deposits, and student account and scholarship payments. Responsibilities include monitoring and reconciling the university’s third-party payment processors and payment plan providers. The role also manages, maintains, and collects federal loan funds, serving as the primary liaison with third-party loan servicers and collection agencies, and reports to the Director of Financial Operations.
Essential Functions and Responsibilities
Payment & Deposit Processing:
- Process student account payments.
- Departmental deposits.
- Scholarship deposits.
- Employee and student reimbursements.
- Expense advances.
Account Reconciliation:
- Monitor and reconcile the university’s online payment processor.
- Monitor and reconcile the payment plan provider and apply all payment plans to student accounts.
- Manage and reconcile the Travel and Expense Accounts.
Federal Loan Management:
- Manage federal loan funds in strict compliance with federal regulations and institutional policies.
- Manage the entrance/exit interviews process for all loan programs.
- Monitor National Student Loan Data System reporting and make corrections when information being reported to the federal government is incorrect.
- Process paid in full student loans.
- Issue credits on overpaid accounts.
Vendor & Servicer Liaison:
- Partner with and monitor the third-party student loan servicer to ensure operational accuracy and compliance.
Delinquent Account Collections:
- Oversee collections for past-due federal loans.
- Contact students via phone, email, and written correspondence.
- Counsel students on available payment options including rehabilitation, deferment and forbearance.
- Ensure timely follow-up for payment or resolution.
- Utilize skip tracing methods to locate students.
- Maintain thorough student loan documentation to support collection agencies and ensure due diligence.
Agency Placement & Credit Reporting:
- Refer delinquent accounts to collection agencies.
- Assign non-paying accounts to the Department of Education.
- Process Total and Permanent Disability filings and send to the Department of Education.
- Ensure accurate credit bureau reporting.
Dispute Resolution & Audit Support:
- Respond to federally required loan account disputes.
- Assist with annual loan fund and collection agency audits.
General Support:
- Perform other duties as assigned.
Knowledge, Skills, and Abilities
- Ability to provide students, parents/guardians with exemplary customer service and assistance.
- Excellent verbal and written skills.
- Experience with cashiering, money handling, accounts receivable, and/or general accounting procedures.
- Highly organized, detail-oriented, and able to manage multiple responsibilities while following established procedures.
- Ability to work independently, within a team, and across university departments.
- Proficient with Microsoft Office (Word, Excel) and 10-key by touch.
- Knowledge of and commitment to diversity, equity, and inclusion.
Required Qualifications
- 2 years of customer service experience including cashiering/money handling and accounts receivable. Related education may substitute for some experience.
- High school diploma or GED.
- Willingness to become a notary at the cost of the university.
- Finalist candidates must satisfactorily complete pre-employment credit and background checks.
Preferred Qualifications
- Collections experience.
- Bank related experience as a Teller or Customer Service Representative.
- Experience in loan programs.
