Job Summary:
Oversees and administers the comprehensive operations of a department or set of departments.
Drives operational excellence, implements strategic initiatives, optimizes resources, and fosters cross-functional collaboration to achieve
departmental and organizational objectives.
Job Description:
- Provide strategic leadership and direction for the
operations and function of the department(s), ensuring alignment with organizational goals, objectives, and performance
metrics. - Develop and execute departmental strategic plans and initiatives, collaborating with key stakeholders to drive operational
excellence and continuous improvement. - Oversee the departmental budget, including financial planning, forecasting, and monitoring of
expenditures, ensuring optimal resource allocation and cost-effectiveness. - Implement and refine operational policies, procedures,
and workflows to streamline processes, enhance efficiency, and maintain compliance with regulatory requirements. - Serve as a primary
liaison between the department and other internal stakeholders, facilitating effective communication, collaboration, and coordination across
teams. - Conduct regular analysis and assessment of departmental performance, utilizing key performance indicators (KPIs) and metrics
to identify areas for improvement and implement strategies for optimization. - Collaborate with cross-functional teams and senior
leadership to contribute to the development and execution of organizational initiatives, projects, and goals.
Job
Responsibilities:
Curriculum and Academic Workflow
Assist in all curriculum experiences for undergraduate and
graduate programs. Prepare, track, and route curriculum proposals and catalog updates. Support academic scheduling, course and program
change processes, and the school’s academic council workflow. Maintain shared documentation so that processes are transparent and
repeatable.
- Coordinate the intake, routing, and status tracking of curriculum and program proposals through school and university
committees. - Maintain accurate catalog, course inventory, and program records in partnership with departments.
- Support
academic scheduling and the resolution of workflow questions across departments.
Advising Coordination and Student Success
Conduct regular check ins with the academic advisors in each department to support consistency, share best practices, and surface
trends. Support the execution of the Holistic Advising Program and coordinate operational logistics for advising across the undergraduate
and graduate student population.
- Convene and document recurring advisor check ins and communicate themes to the Associate Deans and
Dean. - Support the rollout, training logistics, and evaluation of the Holistic Advising Program.
- Coordinate operational
support for orientation, registration cycles, and student facing advising communications.
Retention, Progression, and Graduation
Data and Analytics
Build and maintain the school’s Retention, Progression, and Graduation data. Develop dashboards, reports, and
early alert indicators that turn raw student data into clear, actionable insight for the Dean and Associate Deans.
- Maintain accurate
student success datasets and reporting cycles aligned to the academic calendar. - Design and produce dashboards and reports on
retention, progression, and graduation outcomes. - Identify at risk indicators and support data informed intervention and outreach
efforts.
General Operations
Serve as a reliable operational point of contact for academic affairs and student
success. Organize forms, policies, and procedures. Prepare reports for school and university stakeholders, and support cross departmental
coordination on behalf of the Office of the Dean.
Preferred Qualifications:
Advising experience. Experience with
undergraduate and graduate academic advising in a college or university setting.
Retention experience. Demonstrated work in
retention, progression, and graduation initiatives and student success programming.
- Curriculum management. Experience with curriculum
management, catalog and program processes,and academic committee workflow. - Analytics background. An analytics background, including
the ability to build dashboards and reports and to translate data into actionable insight for leadership. - Master’s degree from an
accredited institution. Required. - 10 years experience in higher education, academic administration at the Undergraduate and Graduate
Level. - Demonstrated organizational, project coordination, and written and verbal communication skills.
- Proficiency with data
tools, spreadsheets, and student information or reporting systems.
