Position Summary & Description

SUMMARY:
Based out of the Kovalchick Convention and Athletic Complex (KCAC), the Clerical Assistant 2 plays a vital role within the Department of Athletics by providing comprehensive administrative support to the Director of Athletics. This position serves as a key liaison for the department, maintaining the Director’s daily calendar, handling high-level correspondence with both internal campus partners and external constituents, and collaborating closely with the IUP Foundation and Alumni/Friends office on special projects. Beyond daily operations, the role is heavily involved in the logistics of athletic events and programs, which includes coordinating major initiatives like fundraising golf outings and the Athletic Hall of Fame. Additionally, the Assistant works alongside the Coordinator of Facilities to streamline operations-assisting with facility scheduling, generating project work orders, game-day duties, supporting summer youth camps, and taking on other dynamic projects as needed to keep the department running smoothly.

ESSENTIAL DUTIES:
- Serve as the primary contact for all IUP Athletics Summer Sports Camps, to include but not limited to serving as the liaison with Human Resources, Aramark/IUP Housing and Coaches to ensure all hiring of camp workers, paying of camp workers, meals and housing requirements are fulfilled for the campers.
- Assist with special athletic events including but limited too: Golf Outings, Hall of Fame, Alumni Events, etc. These duties include coordinating and maintaining correspondence with Hall of Fame Inductees via their preferred method of contact (phone, email, text) for invitations, biography information, day of event photos, assisting in registration at various golf outings, assisting in producing brochures, assisting in tracking registrations and on course events.
- Coordinate with the Director of Athletics Daily Calander and communicate with athletic donors, fans, student-athletes and other internal and external constituents.
- Work closely with the KCAC, Facility Management, and the Office of Finance to submit work orders and scheduling of facilities, assist with season ticket holder and gameday parking lists by maintaining information and distributing items such as tickets and/or parking passes to the appropriate individuals.
- Work Closely with the office of University Relations and Alumni Relations on all athletic fundraising campaigns and events, such as IUP Athletics Day of Giving, Crimson and Grey Society Events coordination of invites, ordering food and beverage, donor records and attending donor meetings including the Athletic Advancement Council Meetings.

Monday through Friday 8:00 AM to 4:30 PM
Position Qualifications
MINIMUM EDUCATION AND TRAINING:
- Six months as a Clerical Assistant 1 (commonwealth title)
or
- Graduation from high school
or
- An equivalent combination of experience and training.
