REPORTS TO: MSPA – AZ Program Director



COMPENSATION: $25.00 to $27.00 per hour

POSITION SUMMARY:


This position is primarily responsible for the overall coordination of the MSPA program. This includes event planning, participation in committees, management of records, facilitating programmatic assessment, participating in key events and supportive tasks for the Physician Assistant Program. Support is provided to the Program Director, Faculty, Students, and Alumni.

ESSENTIAL RESPONSIBILITIES:


Essential Functions

Program Administration


  • Provide administrative support to the Program Director and MSPA program operations.
  • Manage program and Program Director calendars, scheduling, and correspondence.
  • Coordinate meetings with faculty, students, university personnel, vendors, and external stakeholders.
  • Prepare, process, and maintain official program documentation and records.
  • Organize recurring program meetings, including agendas, meeting logistics, and minutes.
  • Maintain confidential student, faculty, and program records.
  • Manage program databases and electronic systems (e.g., CASPA, ARC-PA, NCCPA, Canvas, ExamSoft, Exxat, student records systems).
  • Monitor and update program information in the academic catalog, website, publications, and distribution lists.
  • Serve as a primary administrative liaison between the program and university departments.

Assessment and Accreditation Support

  • Administer program surveys, including creation, deployment, data tracking, and record management.
  • Maintain assessment databases and organize assessment data for reporting purposes.
  • Support accreditation activities, including document preparation, meeting coordination, records management, and evidence collection.
  • Record and maintain minutes for program committees and official meetings.

Academic and Student Support


  • Coordinate tutoring services, including tutor onboarding, scheduling, referrals, documentation, and communication.
  • Serve as a point of contact for students seeking academic and university support resources.
  • Facilitate communication among students, faculty, tutors, and university personnel.
  • Maintain accurate documentation related to student support activities.
  • Support admissions processes, including application review logistics, interview coordination, and applicant tracking.

Fiscal and Operational Support

  • Maintain records of budgets, invoices, receipts, reimbursements, purchasing activities, and financial transactions.
  • Prepare purchase requisitions, reimbursement requests, check requests, and related documentation.
  • Manage program purchasing and logistics, including ordering, tracking, and distribution of supplies.
  • Assist with budget tracking and financial recordkeeping.

Non-Essential (Marginal) Functions


  • Serve on program or university committees, including Student Progress, Social, and DEI committees.
  • Assist with planning and coordination of student, faculty, and university events.
  • Participate in orientation, graduation, white coat ceremonies, preview days, and related activities.
  • Support community engagement and service initiatives.
  • Coordinate faculty travel arrangements and conference logistics.
  • Assist faculty with routine technology support and coordination with IT services.
  • Manage faculty membership renewals, licensure tracking, and reimbursement submissions.
  • Proctor examinations and support OSCE administration as needed.
  • Participate in accreditation site visits.
  • Organize webinars, special meetings, and special events.
  • Assist with evaluation of tutoring and student support programs.
  • Perform other duties as assigned consistent with the position’s scope and level.

Must be punctual and timely in meeting all requirements of performance, including, but not limited to, attendance standards and work deadlines; beginning and ending assignments on time; and scheduled breaks, where applicable.

This position requires weekly onsite support and/or attendance.

SUPERVISORY RESPONSIBILITIES:


This job has no supervisory responsibilities.


QUALIFICATIONS:

  • Education: Bachelor’s Degree or higher
  • Experience: Prior coordinator in PA or medical education preferred
  • Certifications/Licensure (if applicable): Valid US Driver’s License
