Job Summary:
The Student Employment & Payroll Coordinator manages and administers Langston University’s Student Employment Program. This role is highly student-focused and customer-oriented, working closely with students, faculty, and staff to ensure smooth payroll processing, effective administration of student employment policies, and accurate student record management.
Key Duties and Responsibilities:
- Manage and administer the University’s Student Employment Program, including job postings, student hiring, evaluations, onboarding, and maintenance of student employment records, ensuring compliance with employment regulations.
- Coordinate and update Human Resources website content related to student employment.
- Manage electronic timesheets for student workers, providing training and guidance as needed.
- Assist with monthly benefits processing for student employees.
- Perform calculations and production of student payroll, including electronic personnel action forms (EPAFs), approvals, and redistributions.
- Assist with faculty and staff monthly payroll, review overtime reports, and serve as backup to the Payroll Manager as needed.
- Prepare statistical reports, policy manuals, and procedural guides (e.g., Student Employment Handbook, Procedures Manual).
- Conduct surveys and generate reports, such as the Federal Work Study report for the Financial Aid Office.
- Organize and facilitate student employment workshops, orientations, and training sessions each semester.
- Respond to student employment verification requests, providing professional and timely assistance.
- Chair and support the Student Employment Advisory Committee.
- Serve as a liaison between students, employees, IT personnel, and relevant state and federal agencies.
Minimum Qualifications
- Associate’s degree
- Human Resources, Accounting, Business Administration, or related field.
- Experience in payroll, human resources, student employment services, or a related administrative field
- Basic knowledge of payroll processes, timekeeping, and employee records management
Skills, Proficiencies, and/or Knowledge:
- Demonstrated knowledge of payroll and employment regulations (FLSA, I-9, W-4, etc.)
- Strong customer service and communication skills, with the ability to interact effectively with students, faculty, and staff
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong attention to detail and organizational skills
- Ability to manage multiple tasks and meet deadlines in a structured environment
Preferred Qualifications
- Bachelor’s Degree
- Human Resources, Business, Accounting, or related field
- 2-4 years of experience in payroll processing, student employment programs, or HR administration
- Experience working in higher education or with student populations
- Experience with HRIS (Human Resources Information Systems), such as Ellucian Banner
- Familiarity with electronic personnel action forms (EPAFs)
- Experience managing or coordinating employment programs, including hiring, onboarding, and compliance
- Knowledge of federal work-study programs, employment regulations, and E-Verification procedures (I-9 compliance)
- Experience preparing reports, procedural manuals, or training materials
- Demonstrated ability to lead workshops, orientations, or training sessions
- Experience collaborating across departments and serving as a liaison with internal and external stakeholders
