Overview
The Office of the Provost Creative Team seeks a TES Procurement Coordinator. This position supports the Office of the Provost and its units by coordinating procurement and vendor-related activities for branded and promotional materials, supporting marketing initiatives and events, and ensuring compliance with Auburn University procurement, bid, branding, and licensing requirements.
Responsibilities
- Monitors the Office of the Provost Creative Team online request system and serves as the primary point of contact with Provost units to coordinate fulfillment of requests, including vendor communication, ordering, and delivery
- Coordinates production and procurement of marketing, branded, and promotional materials (e.g., print, apparel, and event items) to support departmental operations and initiatives
- Coordinates timelines, production schedules, and delivery of materials; tracks orders and ensures timely completion of projects and event needs
- Serves as a primary point of contact for vendors; communicates regarding pricing, quotes, production timelines, delivery schedules, and resolves routine issues as needed
- Evaluates vendor options, obtains quotes, and prepares requisitions or purchase orders using Auburn University’s procurement system (Jaggaer/TigerBuy) in accordance with university procurement policies and procedures
- Assists with bid and competitive purchasing processes by gathering quotes and supporting required documentation; ensures procurement activities align with applicable policies, procedures, and delegated authority
- Ensures vendor selection and procurement of promotional materials comply with Auburn University trademark, branding, and licensing requirements, including use of approved or licensed vendors and completion of required approval processes prior to production
- Maintains procurement, vendor, and licensing documentation to support compliance with university policies and payment requirements
- Tracks expenditures related to promotional materials and supports appropriate and prudent use of institutional funds in accordance with university spending policies
- Maintains inventory, records, and files related to procurement and marketing materials; assists with reporting and documentation
- Performs other related duties as assigned, consistent with departmental needs
Qualifications
High school diploma or equivalent
Experience in purchasing, marketing support, or a related area.
Preferred Qualifications
- Experience with Auburn University procurement processes, compliance requirements, and systems such as Jaggaer (TigerBuy)
- Experience coordinating the sourcing, production, and ordering of branded or promotional materials, including vendor management and timeline coordination
- Familiarity with Auburn University branding, licensing, and Trademark Management guidelines
- Experience working with Auburn University-approved or licensed promotional vendors
- Experience with basic design
